The St. Petersburg state medical university of Pavlov continues to implement ECM

The Galaktika corporation on behalf of the Northwest regional department of Galaktika of IT Ltd corporation began the next stage of system implementation of electronic document management of DIRECTUM at the St. Petersburg state medical university of I.P. Pavlov, the press service of corporation reported on April 9, 2013.

In years

The management of university made the decision on transition to an electronic document management system in 2010. As a result of detailed studying and the analysis of the leading systems of class ESM a choice was made for benefit of DIRECTUM.

Start

The EDMS implementation project based on DIRECTUM started at the end of 2010, however the electronic document management system did not solve all problems assigned to it in full, and only covered a part of tasks of office.

Active project phase began at the end of 2012 when the new management of university paid considerable attention to development of an information system and was positive for the practices made on the platform EDMS DIRECTUM. Internal processes of office-work, processes of execution of instructions, preparation and approval of administrative and outgoing documentation became priority projects of automation.

The first results

Within the completed project stage in three months are solved:

• updating of the DIRECTUM system to the current version 4.9;
• automation of activity of the general department as central link of document flow of the university;
• connection of most divisions of university to EDMS DIRECTUM;
• providing to the top officials of a possibility of mobile access to a system using tablet devices for problem solving of consideration, approval and decision making on the entering and organizational and administrative documentation;
• large-scale training of workers of management personnel of the university – 120 people, including the rector and vice rectors of university.

Aleksanlr Kalygin, the curator of project SPBGMU of I.P. Pavlov, noted: "As the contractor on the project the Galaktika of IT Ltd company which proves as the reliable partner helping to solve problems of the university acts. Not short-term project implementation on local automation, and large-scale, universal implementation of a new system, automation of the functions which are historically executed only on paper is necessary. Certainly, and first of all, we resolve a number of serious organizational issues, and competent support of experienced specialists – experts in automation of activity of universities is necessary for project implementation".

Dmitry Lenko, the project manager in Galaktika of IT Ltd company, emphasized: "The trust and responsibility conferred on us once again are confirmed by our competences both regarding implementation of EDMS, and regarding training of specialists of our customers on operation and development of EDMS".
