On June 20, 2018 the company Gendalf announced creation of electronic archive in 1C in Stem company from which the required document can be unloaded for several seconds.
Large supply rates and a large number of clients cause extensive document flow of the company, especially primary documents: invoices, acts of the performed works and consignment notes. In a month in Stem more than 1000 papers of "supporting documents" arrive. Also tax administrations often request document packages for counter tax audits. For the purpose of simplification of preparation for checks and simplification of work of accounting service the management of the organization made the decision on implementation of the Scan Archive program. Specialists of IT service "Stem" were engaged in installation and software configuration. During setup of the program under specifics of a company performance programmers finished functionality of document retrieval, having added different filters and the classifying criteria for simplification of search in base.
After implementation "Scan Archive" the technology of work with documents changed. The accountant responsible for work with "supporting documents" loads papers from a shtikhkodama into the scanner, then the program automatically processes the received scans and attaches them to necessary partners in 1C base. Papers without barcodes are entered to "Scan Archive" manually through an electronic form. In case of need, for example, tax audit, documents can be unloaded from base within several seconds.
In a month through "Scan Archive" there pass not less than 1000 documents. We load papers with barcodes into the program at once, we process other documents later in bulk. The possibility of quick search and unloading of "supporting documents" from base allows to prepare for tax audits twice faster, than before implementation of the program.
