Project History
Complex structure of the enterprise and feature of its development caused heterogeneity of the accounting information systems used in affiliated enterprises of the customer (SAP Navision 1C Globe etc.) that led to considerable complication of work with contractual documents. It became the basis for start of the project on automation of a contracted work based on uniform ECM systems DIRECTUM in divisions of the Processing and Trade business direction. Creation of a common information space for organized storage and operational work with contractual documentation became a problem of implementing solution based on the DIRECTUM system. The standard solution on a contracted work, should automate the following business processes:
- creation, approval, the conclusion and performance of agreements (including a reporting preparation on a contracted work);
- the organization of work of the contractual commission (the choice of contractors according to the established procedures);
- approval of requests for payment.
The project started in the first half of 2010, and came to the end in the first in = quarter 2012. I-Teco and Tanais companies, acting in consortium, carried out a full range of works on replication of a template. Within these works setup of a system under operating activities of child structures of TNK-BP on the basis of data of the GAP analysis made by the customer was carried out are performed pretest and test operation and also training more than 170 users and consultation of users at a stage of trial operation is organized.
All necessary information which is in different reference books of a system was consolidated in a uniform electronic card according to the regulatory base on contract management in the company. As a result, the implemented system provided transparency of management and increased process performance, connected with a contracted work in subsidiaries of TNK-BP. The implemented solution became a part of the information space of TNK-BP company integrating the distributed organizations and the corporate center. The total quantity of the automated users at the enterprises made more than 600 people.
The manager of projects of Tanais company, Pyotr Bogachyov tells: - Document flow in large holdings, as a rule, has huge scales. The set of agreements – from local to international – consists with different suppliers and partners and is approved at the different levels – from heads of divisions before top management. Transfer of this work to electronic level does process of preparation of agreements more convenient, transparent and, of course, operational. Users of a system can find the most complete information at any moment about this or that agreement in what status there is now a work on its project and at what level it undergoes approval.
