Rapid growth of TNK-BP Commerce led to significant increase in internal document flow in paper form that there were the reason of decrease in efficiency in management and deteriorations in efficiency of control of processes in the company. Therefore system implementation of electronic document management became important business need.
For the end of 2008 in systems 600 users worked.
Process of implementation and development the BOSS-reviewer happened in several stages.
First, the working group of specialists of Aplana company and IT department of TNK-BP Commerce and also the staff of department of office-work, commercial and other divisions was created. Implementation of the basic version of a system — since the beginning of inspection of the enterprise and before start in operation — was implemented in 5 months. Start of a system was performed step by step. First of all the modules "Memos" and "Instructions", then the module of registration of incoming documents and — "Approvals of agreements" which was selected in a separate subsystem and is significantly upgraded using Lotus Workflow technology were implemented at the end.
During the second stage of a possibility of EDMS were expanded due to implementation of the functional subsystem of "The file of agreements" with the Web interface integrated with financial and accounting systems of the company.
Implementation of the subsystem "Execution of Web requests" integrated with the system of operational accounting based on "1C: Enterprise" became the third stage of development. This subsystem automates processes of creation and approval of requests for storage and shipment of oil products. Implementation of a subsystem provided to clients of TNK-BP Commerce a possibility of an execution of requests for oil products via the Internet, thus, having reduced process of a design and management of requests.
