The Business Logic 2.0 company completed a system implementation project "Logic of ECM. Finance documents" for electronic financial document management and archiving on the IBM FileNet platform at the central office and 45 regional divisions of the telecom operator of Tele2.
Objectives
Accounting centralization, rapid growth of business and volume of documents on activity of 36 operating companies and 9 representative offices of the central branch Tele2 resulted the company in need to implement an optimal solution for storage and transportation of electronic documents from territorially remote divisions in the uniform center of financial accounting. As a result of a research of the market the solution based on IBM FileNet for the organization of electronic storage and the ABBYY Recognition Server software product for the automated input of primary data was selected.
The complete solution had to solve three important problems:
- Creation of a system for storage and transfer of electronic documents in financial center, the systems of archiving for other divisions
- Cost reduction thanks to performance improvement of work of the workers occupied in dokumentoyemky business processes
- Increase in speed of information flows, increase in efficiency of interaction between divisions of the company
Solution
The project was executed in three stages. At the first stage the electronic archive which serves for storage and document transfer in OTsO, including package scanning and registration of files, full recognition and loading in the system of primary documents is created. Data migration from the electronic document management system existing in Tele2 in new storage is implemented, integration into the reference book by partners is executed.
During the second stage the EDMS working based on IBM of Lotus Domino/Notes is replaced with the advanced IBM FileNet platform. Specialists "Business Logic 2.0" created the system of vising and authorization of documents, implemented a possibility of the notification of employees by e-mail. Also the electronic archive of registration forms of subscription service and electronic archive of documents for legal service were organized.
The third stage assumed accomplishment of flexible integration with a financial system of the company and creation of the necessary reporting and also completion of the program for convenience of work with accounting documents: obtaining information on a payment status, automatic adding of number of the payment order, expansion of functionality of vising of documents and other opportunities.
