2022: Kleverens for Restaurant Ferret, or how Titan Service automated the warehouse

Is it as easy to carry out inventories and issue goods according to the list and paper invoices as it seems at first glance? And if you have to work with several thousand items? Yes, over time, you can get used to everything - even in the mode of constant emergency and high load. But then you have to check yourself: did you miss something, was everything counted, were there any errors in the shipment? But with such an algorithm of work, the influence of the human factor cannot be rid of.

For many years, Titan Service has been engaged in the wholesale and retail sale of equipment, components and spare parts for restaurant "ferrets" (from the English HoReCa), as well as the supply of components for manufacturers. The assortment includes large-sized, thermal, refrigeration, bakery, bar and other equipment and spare parts of various directions - more than 20 thousand units of the range.

"Previously, we kept records on paper and in '1C: UT 11.4'. It was difficult to issue goods: at first they formed documents in the accounting system, printed out, transferred to the warehouse in the issuance zone. Further, the client was issued an invoice for shipment, after which he could receive his order in the

warehouse.

Inventories were also carried out according to the printed list of the item formed in 1C. Each item was counted, the quantity was recorded. It was a very long time with our volumes, "- Vladimir Yuryevich Epikhin, owner of Titan Service, shared his working moments.


Tasks

Delivery is one of the most important parts of customer service, which involves not just transferring goods from hand to hand to the buyer. And the high organization of this process clearly increases the company's chances of increasing customer loyalty, attracting new ones and even raising sales levels.

"Storekeepers did not depart computer from, we can say: first you had to go to, 1C find the required expense order, change its status to 'To shipment', after issuing the order to the client - to 'Shipped'. Employees regularly missed some action and then the remnants did not correspond to reality: in the database - the goods are in stock and are already reserved for customers, and in fact - in the warehouse zero. The reason for the discrepancies was open expenditure orders.

First, we needed to clean up the warehouse and the paperwork. Secondly, to reduce cases of overhauls and shortages. To do this, we wanted storekeepers to see absolutely all expense orders created by managers and their statuses on the screen of the data collection terminal. For example, for delivery by our driver - 'Prepared', for pickup by the client - 'Checked', "said Vladimir Yuryevich.


The owner of Titan Service did not spend much time looking for the optimal software solution and immediately turned for a recommendation to 1C specialists who served the accounting system under the technical support agreement. On their recommendation, Vladimir Yuryevich acquired Kleverens software. But the implementation did not work out right away: two contractors did not complete the integration and did not complete the necessary improvements.

Decision

What if the contractor does not fulfill its obligations? Do everything yourself or look for a new performer? The first option is more profitable for business - provided that the efforts are successful. The second option again does not give any guarantees.

The owner of Titan Service chose the path of least resistance and turned to the software developer directly, as complex improvements were needed. Sales managers of the Kleverens sales department handed over the project to an integrator partner who successfully completed the implementation.

"Refusal to issue a paid order to the client due to the lack of goods in the warehouse - greatly beats the reputation of the company. Some of our products are similar in appearance, but received from different manufacturers. Accordingly, their cost is also different. For example, visually identical pens from China, Germany, from Turkey, storekeepers often gave out simply on the

name.

I decided to completely rebuild the issuance algorithm: each unit of goods gets its own place in the warehouse and barcode. We issue orders to customers only in the declared configuration. Now I am considering the transition to address storage. The warehouse stores goods of rare demand - since 2018 - and with a new storage system, they will occupy a cell, or even more than one. And with our volumes it is very inconvenient, "- shared the owner of the company" Titan Service. "


After the implementation of Warehouse 15, the process of collecting customer orders has changed. Now: the storekeeper receives a list of expense orders on a mobile computer, opens them in turn and scans the goods using the ShK using the shipping documentation. When all items from the order are scanned, the document is completed and its status automatically changes to To Shipment.

"Software 'Kleverens" we have modified in accordance with the customer's wishes. Each document has a barcode. Employees do not need to run the accounting system in order to mark the shipment. The storekeeper or forwarding agent can simply scan the ShK of the document by the terminal, and the expense order will immediately close, and its status will change to'Shipped '. Accordingly, in 1C, information will appear that there are no more products on the balances

The second way to work with invoices is by the number of the expense number for exchanging documents on EDM with buyers. To close the document, in the section "Shipment of goods" at the terminal, you need to enter the number of the expense order, and the question "Goods shipped?" Will appear on the shipping documentation screen. If the storekeeper clicks yes, the goods will go to the status "Shipped" and be written off from the balances, "said Oleg Afanasyev, architect of information systems at Universal Systems Studio.


Titan Service employees now operate 2 data collection terminals and a TSC DA200 label printer. The exchange between the accounting system and the connected equipment was configured via Wi-Fi. Storekeepers perform operations of acceptance and movement of goods without shipping documentation, since several virtual warehouses are registered in 1C - "Exhibition," "Marriage," "Equipment," "Basic," "Shortages," and it is easier to work with them manually.

"With 'Warehouse 15' we are currently only selling the product. And although 'Kleverens' is completely set up, we do not carry out regular inventories. Because the barcoding of the goods takes place in stages - at the time of shipment. And the warehouse has not yet adapted to the new mode of operation, storekeepers constantly forget about shipping documentation and work in

the old fashioned way.

It is not very convenient only that after completing the document on the terminal, the mobile application returns the user to the main menu with a list of operations. It would be much more convenient for him to remain in the same section with a list of expense orders. After all, if the storekeeper has already begun to collect 20 orders for one legal entity, he has to return to the desired section every time and manually re-scroll through all expense orders. It's long and uncomfortable. At least 30-40 minutes of extra time is spent per day, "said Vladimir Yuryevich.


Results

Strict regulations for unloading and loading vehicles in a warehouse are good. As well as accepting buyers at a clearly indicated time. But the company must be prepared for the additional costs of organizing premises and expanding the staff. It is easier to automate the warehouse and know that two storekeepers provided with data collection terminals will cope with the increase in load.

"I am pleased with the implementation of 'Cloverens'." Our customers, seeing how we work, admire that we were able to implement such a mechanism. And they admit that they did not manage to automate their warehouses. Storekeepers are still slowly collecting orders from shipping documentation, because they have to print and apply barcodes to unmarked GTIN products. And sometimes documents are drawn up manually through 1C so that the buyer does not have

to wait long

But thanks to 'Warehouse 15' and shipping documentation, we have completely ruled out errors. Of course, the implementation process was delayed, but the specialists of Universal Systems Studio finalized the software as we needed.
