Toyota Motor automated work with dealers based on Microsoft Dynamics AX 2012

2018: Transition to Microsoft Dynamics AX 2012

On March 14, 2018 the Columbus company announced the carried-out implementation of the ERP system in Toyota Motor LLC. In a project deliverable specialists of Columbus automated processes of accounting and delivery of cars to dealers: from placement and adjustment of orders on the portal of the customer before sales to dealers and end customers. Work with the platform is conducted by more than 2,000 users.

Since 2003 Toyota Motor LLC uses the ERP system based on Microsoft Dynamics AX 3.0. With a current of time and development of technologies in the company there was a need for change of the solution. As the platform it was selected by Microsoft Dynamics AX 2012.

Specialists considered two options of transition – technical transfer of processes or complete reimplementation of ERP. Based on the description of key business processes and development of recommendations about their automation it was decided to go the way complete reimplementation. The partner of the project selected consulting company Columbus.

In a project deliverable the majority of transactions which are executed by dealers of Toyota Motor LLC on the portal of the company introduction and approval of orders, adjustment of plans, implementation of acceptance of cars in warehouses and sales to end buyers are transferred to the implemented platform, for example.

Specialists of Columbus carried out migration of the main reference books of a system and also transfer of functionality of the block of sales and accounting of all statuses of the car, beginning from production and finishing with transfer of the car to the end consumer. Processes of delivery of cars to dealers were automated: order placements, adjustments and approvals of production schedules, registration of release of cars at the plants, deliveries and car sales to dealers and end customers.

The project covers Toyota Motor LLC company and also 162 dealers Toyota and Lexus across all Russia about more than 2,000 users in general. Such number of users of the platform imposes increased requirements to its performance and stability of work in mode 24х7. Initial support of a system was carried out till the moment while the number of addresses to technical support from employees of dealers and the customer was not minimized.

For training of dealers for work of IT analytics of the customer jointly with specialists of Columbus held a series of webinars, each of which was devoted to analysis of scenarios of a certain group of business processes: sales, planning, etc.

In further plans of a project team – transfer of functionality of logistics and automation of carrying out retail transactions: for example, work planning of the logistic operators who are engaged in delivery of cars to dealers.
