To achieve the intended goal, Wone IT specialists needed:
- analyze the existing document management system, study the business processes of drawing up contracts, identify and eliminate ineffective links;
- accumulate information on orders, suppliers and customers from different sources of information, and then reduce all data into a single datacet, on the basis of which to build a number of reports;
- Set up a tool that allows you to monitor the contractual business process for different filters and key figures and analyze the obtained data in different sections (including temporary).
In order for the system to work efficiently, Wone IT consultants have collected and analyzed information on tens of thousands of documents over the past seven years. They studied and unified in the system all stages of the life cycle of contracts and their terms: agreement of the text, revision, selection of the signatory, signing by the representative of Unilever Rus, signing by the counterparty, scanning, archiving, confirmation of cancellation (if necessary).
The introduction of the system made it possible to overcome the limitations of the EDM system and avoid information entry errors. The main result of the project is to improve the quality of monitoring and control over the implementation of contractual work. As a result of the project, the customer got the opportunity to:
- quickly receive information on any contract and its connection with other documents without the need to read documents;
- Track deadlines for each stage of the contract life cycle, monitor whether the process is behind the intended traffic
- control the contractual process on the part of counterparties; predict and analyze the work with the counterparty;
- analyze contractual work on various parameters and filters (about 15 filters), as well as compare the characteristics of contracts (including price) by counterparty, period, region, etc. All parameters can be monitored over time, as well as compared data obtained for given periods.
One of the important outcomes of the project was to increase the executive discipline and personal responsibility of employees. The system allows you to see which of the performers is responsible for which stage, isolate errors and delays, analyze their causes and monitor the quality of work of specialists according to previously approved KPIs. In general, thanks to the project, management received additional arguments for objective assessment and motivation of its employees. All necessary indicators can be obtained and filtered in one window in a form convenient for the customer, as well as visualized in various ways and converted into reports for visual analysis.
