X5 Retail Group completed an e-document flow implementation project

On December 11, 2013 the X5 Retail Group company announced system implementation of electronic document management.

Project Tasks

Scales of business and the transactions X5 Retail Group generate a huge flow of documents which the company daily faces. Execution of e-document flow by e-mail would mean enormous time and labor costs for X5. Implementation of electronic document management (EDI) was represented by an important element of business process optimization of X5 Retail Group company. Therefore at the beginning of 2012 the decision on transition to paperless exchange of documents with suppliers is made.

Starting project implementation, X5 Retail Group set goals: reduce time of processing of one document from 30 to 5 minutes, to considerably reduce costs for paper, office equipment and transfer of documents, to enter a uniform product catalog for work with different suppliers and, at last, to minimize number of the errors caused by manual entry of information.

Project Progress

By search of the solution, X5 Retail Group set to providers of services of electronic document management the similar tasks. As a result of the tender, as EDI partner of X5 of Retail Group selected four largest EDI providers. EDISOFT which provided service of Electronic Data Interchange on the basis of own platform - one of them.

Anton Sverdlov, the chief executive of EDISOFT, noted: "The organization of electronic document management for X5 Retail Group was not only the honourable project, but also a serious call, X5 imposed very strict requirements to technical quality of the EDI platform, level of service and to security of information. Many processes of EDISOFT had to be created from scratch and to study on own errors".

Project Results

Project implementation of X5 Retail Group succeeded to connect about 94% of suppliers to paperless document flow and to transfer 97% of document flow "order delivery" to an electronic form ("order", "the answer to order", "the notification on receiving", "shipping notification", "settlement reconciliation statement", etc.)

According to preliminary estimates economy as a result of project implementation of EDI made 112.9 million rubles a year.
