March 18, 2015. The Armex company reported[1] about implementing solution "1C: Operational printing 8" in JSC Yakutia Media Holding printing house. A new system allowed to accelerate order processing by 4 times, there was an opportunity almost instantly to calculate their draft cost and to estimate materials requirement. Approval and transfer of orders in production accelerated. It became simpler to plan production. There was an opportunity to control accomplishment of orders at each stage of a fabrication cycle. Accuracy of cost accounting increased. It helped the enterprise to manage price policy more flexibly. In only three months of use of a new system it was succeeded to increase profitability of production by 13%. The company could guarantee to the clients the optimal prices on products and timely accomplishment of orders.
Goals and Objectives
To maintain high quality and speed of accomplishment of orders at increase in the nomenclature and outputs the enterprise needs to process quickly entering orders, to plan and control their execution, to timely buy required raw materials and materials. For rational management of economy of production and preserving of low prices of products it is required to obtain exact data on planned and actual cost of each executed order.
Earlier operational and production accounting in the company were not automated. For calculation of draft cost and actual cost of orders spreadsheets were used. On calculation of orders a lot of time left, errors in calculations were not excluded. It was difficult to estimate materials requirement, to plan production and to control profitability of production.
The information system which would allow to accelerate order processing became necessary for the enterprise, to improve material requirement planning, to increase cost accounting accuracy, to strengthen control over the implementation of the production plan.
Choosing a Solution
As the software product for the solution of assigned tasks the management of printing house selected a specialized system "1C: Operational printing 8". The Armex company having wide experience of automation of the polygraphic enterprises became the partner in implementation.
Key results of the project:
- Processing of the entering orders which includes calculation of cost of all prepressovy, printing and post-printing transactions, calculation of quantity and material cost, etc. became simpler and accelerated. Calculation of the majority of standard orders is executed now automatically on the basis of the templates configured in a system. Probability of emergence of errors in calculations is almost excluded. Time spent by managers for order processing was reduced by 4 times. The holiday of orders in production accelerated.
- In a system the mechanism of accounting of a consumption of paper for newspaper printing on the regulations approved by "Federal Agency for Press and Mass Media of the Russian Federation" - taking into account the volume of printed pages and consumption rates of paper on this volume is implemented. It allowed to plan more precisely a consumption of the raw materials required for order fulfillment. On calculation of materials requirement twice less time is spent, than it was earlier.
- Operational accounting of raw materials and materials in a warehouse is organized. There was a possibility of reservation of Inventories under specific orders. It helps managers to create timely supplier orders taking into account the current remaining balance and requirements of production services. Reserves of materials in a warehouse do not exceed reserves, necessary for the company, now.
- Accuracy of calculation of actual cost of release increased. The management of printing house had an opportunity to trace all chain of expenses, to control cost value of polygraphic orders, to quickly analyze and plan profitability and profitability of production. Using only this mechanism, the Yakutia Media Holding company in 3 months could increase profitability of orders for 13%.
- The quality of production planning improved. There was an opportunity to control accomplishment of orders at each stage of a fabrication cycle. Orders of buyers are executed timely.
- Maintaining the customer base is automated. The complete information about the customer - his contacts, the history of orders, the accompanying information is available to managers in the online mode. These data help to develop the new effective marketing programs directed to increase in quantity of repeated customer appeals and development of further partnership with them.
- Integration of a system into the solution "1C: Accounting 8" allowed to transfer quickly to the accounting program data on orders and the actual material consumption. Speed of formation of the regulated reporting increased. At the same time time spent by the accountant for input of "primary" documents was reduced by 8 times.
