Ilyukhin Oleg, the Director of the department of IT of CB SDM-BANK shared details of the project. According to him, within the project 200 jobs, including branches are automated, in a project deliverable more transparent managed to make approval process that allowed to exclude loss of documents and to reduce approval terms, responsibility of employees increased. Besides, the storage of the regulatory legal acts (RLA) regulating activity of bank is organized.
At the end of 2011 in "SDM-bank" the project on system implementation of electronic document management based on the solution EOS for SharePoint, development of Electronic Office Systems (EOS) company was complete. The solution EOS for SharePoint represents an end-to-end system of management of documents based on the Microsoft SharePoint 2010 platform. As a result of implementation in bank the main objectives of the organization of document flow were solved: processing of the entering and outgoing documents, preparation and approval of internal organizational and administrative documents, control of execution of instructions. The storage of the regulatory legal acts (RLA) where the regulating documents regulating activity of bank were collected was created the publication of files from EDMS in NPA storage is configured.
According to the head of IT department of "SDM-bank" Oleg Ilyukhin, by the time of making decision on implementation of EOS for SharePoint in bank there was a developed system of paper document flow, however at a certain stage it began to slow down internal processes of activity of bank. A large number of time occupied approval of internal documents, besides, a part of documents was lost at transfer between different divisions. Accounting of regulating documents was difficult organized.
"The document base which is saved up by us was thousands of units, at the same time it was difficult to perform search in it, - Oleg Ilyukhin tells. - We always very much showed consideration for document ensuring the activity, it is enough to tell that all main business processes in bank were documented and put "on paper". However over time this advantage became a shortcoming, and we thought of system implementation of electronic document management".
The choice of the solution was preceded by careful analytical work of employees of the bank. The EOS for SharePoint platform was selected, first of all, because it assumes a possibility of further accumulation of functionality.
With the same care employees of the bank approached also development of technical specifications on implementation. According to Oleg Ilyukhin, work on preparation of technical specifications took about half a year, but implementation took place then in a short time. The volume project was implemented within about 4 months.
"At a development stage of technical specifications we structured our base of documents, registered reference communication between documents that at change of some regulations it was visible how it is reflected in other elements of the regulatory base. Besides, in a new system search function is implemented, according to the main details it is possible to find any document in base for read seconds while earlier on it hours left" – the head of IT department of "SDM-bank" says.
The majority of the requirements of bank is fulfilled at the expense of mechanisms of the EDMS setup and the Microsoft SharePoint 2010 platform. The only task which demanded additional completion was connected with mass loading of files of a regulatory framework of activity of bank from file archives in EDMS. It was solved using the special utility entering delivery of EOS for SharePoint.
Work on preparation of technical specifications revealed more than three hundred routes along which documents in bank moved. According to the results of work routes of approval of documents were transformed to 50 processes of approval of documents in a system.
"We paid much attention to ergonomics of the interface, - Oleg Ilyukhin tells. - It is necessary to consider that the solution EOS for SharePoint is constructed on the Microsoft SharePoint platform which functionality is significantly broader, than at "traditional" workflow systems. However working interfaces of this platform are not always convenient. Together with the staff of EOS Group company we developed new interfaces, literally registered how the screen in a workplace of the user, the head, etc. should look, created the directory of jobs. It allowed us to increase convenience of work with a system and to remove "the first wave" of alienation which always arises at employees, forced to switch to new and unusual software products. Nevertheless, in this direction is where to continue to work, and the bank already formulated requirements to the second queue of works on convenience of interfaces".
As a result of project implementation in bank 200 jobs were automated. Considerably the transparency of process of approval of documents increased that allowed to exclude loss of documents, to reduce approval terms, to increase the responsibility of employees. Besides, the NPA storage, regulating activity of bank is organized. During setup of a corporate portal such functions as the publication of news, contacts of employees of the bank, maintaining minutes of meetings, armoring negotiation, admissions, couriers and others were implemented.
Much attention in a work progress over the project was paid to control of performing discipline. A system included the calendar of meetings, the instructions prepared according to the results of these meetings are traced by a system, as a result at any time the contractor and the head can see when the term of accomplishment of order and what steps need to be executed expires.
"For half a year of work of a new system through it there passed about 6 thousand instructions, - Oleg Ilyukhin says". - There took place approval and a statement more than 1 thousand documents. It is serious loading, and a system successfully copes with it".
