Rosatom began to work with EDMS via iPad, but it is limited

2014: Development of the mobile client

In the fall of 2014 the project of development of the mobile client for iPad tablets which heads of Rosatom could use for work in a uniform industry electronic document management system (EOSDO) started.

Follows from the project documentation published in September that a main objective of creation of iPad client is process optimization of document flow and office-work in Rosatom.

It is important to note that in iPad client of Rosatom not all document types and the tasks existing in EOSDO will be able to be processed. Besides, the scenario of use of the mobile client assumes processing only of public information. Information processing of the chipboard and trade secret levels, the data which are the state secret and also personal data processing with its help is not supposed.

In the client and the server of the EOSDO application under iPad a number of mechanisms of different level should be used for security, prevention of a compromise of the data sent to the server, unauthorized access to data of the server or the client.

For work with data through the mobile client the user will need to undergo authorization in a system. To prevent possible attempts of interception and monitoring of traffic between the mobile client and a facade of the server of synchronization with EOSDO the protected TLS protocol implemented by the module of support of network authentication of Crypto Pro of TLS which is a part of a CIPFof CryptoPro CSP will be used. For protection of local data in case of access for the malefactor to the mobile device means of CryptoPro CSP will also be used.

Earlier the Chief information officer of Rosatom Evgeny Charkin told TAdviser that the need for mobile applications for its industry enormous, but so far in it it is impossible to use widely mobile devices because of extremely strict requirements on data protection.

2015: Implementation

According to the messenger of transformation of IT of Rosatom which left in May at the beginning of 2015 the mobile client for EOSDO of Rosatom was implemented. The management of state corporation uses this solution when holding meetings.

The solution is created based on the Russian mobile product WorksPad which developer is MobilityLab entering into IT group - the old partner of Rosatom in IT projects. In addition to IT in creation of jobs for the management of Rosatom accepted Greenatom.

The created application is displayed on the mobile device in the form of the folder with files of the latest version in which it is possible to come and examine changes at any time. At its use increased requirements to information security are implemented: so, for example, the user can open the document in the application, download it on the device, but the possibility of its transfer is completely excluded.

Rosatom notes that meetings of heads of the highest level, as a rule, take place using a large number of documents — participants should have current versions of the presentations of speakers. Before implementation of the mobile client before each such action of costs for preparation for planning meetings of top level made till 10-15 packs of paper documents in a month, and on printing, distribution of materials by packets and the subsequent their destruction left till 5 o'clock weekly.

When using paper documents there were also inconveniences of organizational character. In the course of preparation for meetings speakers often edit the presentations, and happened that the last changes arrived when all document package was already printed. It meant that it was necessary to start printing process again or to be reconciled with the fact that data on paper and the presentation screen will differ.

Upon transition to a paperless format of the weekly operational meetings at the CEO and meetings of operational committee all these losses were significantly reduced, state in Rosatom.

In spite of the fact that passed to a paperless format of a meeting of the top management of Rosatom quite recently, it is already hardly remembered how many left time and paper for preparation for weekly planning meetings, - the messenger of transformation of IT quotes the representative of the secretariat of the CEO of Rosatom. - Today, to provide participants of the meeting with all materials, it is enough to copy the necessary file in the special folder – and it takes half-minute".
