IT-Consult completed implementation of EDMS in Akom Group

June 03, 2015. The group announced IT-Consult end of system implementation of electronic corporate document management in AKOM Group.

Goals and Objectives

Because of a geographically-distributed structure of the enterprises of Group the question of the organization of their interaction ripened. Specialists of the enterprise tried to resolve an issue using e-mail, but in this case there were problems connected with lack of an overall picture of approval that complicated mutual understanding and delayed processes. The issue of interaction was particularly acute regarding approval of contractual documents. In most cases agreements before signing should be approved with management personnel i.e. if the division initiator is on other coast of Volga, then duration of reconciliation procedure increases for 1-2 days.

Choosing a Solution

For the purpose of optimization of the movement of documents by the management of the enterprise the decision on system implementation of electronic document management of DIRECTUM was made. After carrying out training of the working group the analysis of the available processes of approval of contractual documents was made, the project of future system which and was implemented afterwards by specialists of Group IT-Consult is issued. In parallel with development process there was a training of staff of AKOM Group in the basics in the DIRECTUM system. Passed through training in total about 40 people that allowed to carry out quickly trial operation of the provided functionality, to correct everything that was not quite convenient and to begin to work in an electronic document management system.

Result

As a result of implementation of DIRECTUM the enterprise managed to reduce terms of approval of contractual documents to 1-2 days regardless of location of the initiator or the approving persons. All variety of types, categories and features of reconciliation procedures of contractual documents was succeeded to lead to only two standard routes, and process of approval - in a single harmonious system with automatic formation of archive of contractual documents and registers of agreements on each enterprise of holding. As a result of integration of EDMS DIRECTUM with a 1C system which is already installed at the enterprises of Group by Ak need of duplication of information for EDMS and the accounting systems disappeared. Besides, in a project deliverable the full-fledged archive of all contractual documents with the history of approval of each agreement was received, representatives of the company integrator reported TAdviser.
