On July 21, 2015 it became known of transition of factory Sladonezh on EDMS CompanyMedia 4[1].

Project Tasks

The need for workflow automation Sladonezh appeared in 2007. Automation of processing of the entering and outgoing documents, transfer of a contracted work to the electronic mode was among the main objectives. For the solution of this task the management of factory and its IT specialists selected EDMS CompanyMedia third generation, created in the company InterTrust.

The decision on transition to CompanyMedia 4 is made in 2014. One of the transition reasons - need of implementation of mobile jobs for corporate content management. The opportunity for work with documents and tasks using tablet devices existed in earlier versions of EDMS, but in CompanyMedia 4 the functionality of mobile applications extended — the interface became more convenient, adapted to needs of managers of the top management.

Project Progress

Optimization of work with contract documentation was also included into the list of priority problems of implementation. Owing to specifics of a company performance in the extensive sphere of B2B the module "Agreements" is the most loaded system component. Approval of agreements takes place in several stages, specialists of different services of the company, including office, accounting, financial and legal departments participate in process. A system allowed to make approval of agreements more flexible, operational and controlled.

Project Results

"The project of transition to CompanyMedia 4, from carrying out by specialists InterTrust of inspection prior to commercial operation, took less than one and a half months, and direct migration on the new version was carried out during some days off — Albert Poluektov, the specialist in information security of Sladonezh company told. — The updated system is used since November of last year, and during its operation the CEO of the company and the commercial director so got used to mobile work with documents that now any business trip does not do without tablet. Approval of agreements and other documents, issue of instructions and resolutions, signing of memos — these daily problems are solved by company executives using iPad devices. Two operation modes, with the assistant are provided in a system and without, but our top managers prefer independent work, to them personal control of workflows, without participation of intermediaries is important".

Along with managers in a system practically all staff of Sladonezh factory whose jobs are equipped with computers work. Are available to ordinary specialists arrived on execution of the order and orders, there is an access to organizational and administrative documents of the company. Office-work specialists see in a system all picture of the movement of documents in the company.

For July 23, 2015 about three hundred employees of the enterprise daily use the CompanyMedia 4 system.
