2021: Digitization of 117,000 pages of historical documents

More than 117,000 pages of historical documents were translated into electronic format for the State Archive of the Voronezh Region for 2021.

One of the areas of work of the State Archive of the Voronezh Region (KUVO "GAVO") is the conduct of genealogical research, which is carried out both by archive specialists and independently by users in the reading room or remotely. Metric books are one of the main sources containing genealogical information, their digitization has been carried out systematically for several years.

Metric books allow you to trace the history of any family from any class, and contain information about birth (including the time of birth and baptism, last names, first names and patronymics of parents, their social affiliation), marriage (indicating the time of wedding, surname, first name, middle name, age of the groom and bride) and death (indicating time, cause of death and place of burial), - say the specialists of the KUVO "GAVO," - in particular, the metric books of the churches of the Voronezh province (for 1780-1923) and the Tambov province (for 1852-1919) were digitized; metric books of churches of Novokhopersky district (for 1791-1912); churches of Borisoglebsk and Borisoglebsk district (for 1759-1919). "

Digitization was carried out on professional domestic planetary scanners, which, due to the contactless method of scanning, ensured the complete preservation of valuable originals. High-quality digital copies are uploaded to the IPS CFP VO (Information Search System of the Digital Fund for Use of the Voronezh Region) and are available for remote viewing by users.

2015

On February 25, 2016, ELAR announced the completion of the electronic translation of the scientific and reference apparatus and especially valuable documents of the state archives of the Voronezh region.

Project Progress

As part of the project, almost 14 thousand inventories and 25 thousand especially valuable archival cases, including all metric books, were scanned, indexed. The implementation of the integrated information system (AIS Archive) ensured reliable storage of fund materials and multi-user access to them. Thanks to the system, the maintenance of the research and reference apparatus, the recording and staffing of cases, and user service are automated. On February 25, 2016, on the portal of the Archive Service of the Voronezh Region, using the system, you can get acquainted with the NSA, order cases for work in the reading rooms of three state archives. Integration with a single and regional public services portals allows institutions to provide services to citizens in electronic form.

Project Outcome

In the state archives of the Voronezh region, users got the opportunity to order cases, submit applications and study inventories through the Internet.

ELAR Corporation has created a digital fund for the use of documents and implemented an automated information system of the Archival Fund of the region.

The creation of an automated system for managing the main processes of the region's archives helped the state archives of the region solve the main tasks - to ensure the preservation of documents of the Archive Fund and provide users with online service.

Employees of the State Archive of the Voronezh Region, the State Archive of Socio-Political History and the State Archive of the Voronezh Region of Personnel Documents switched to paperless work in terms of recording the movement of cases, monitoring their issuance and other procedures.
