2020: Optimization of work of legal department

On August 31, 2020 the Talan company reported that it accelerated work of legal department using Directum.

As it was explained, the company uses the Directum system since 2007. In 2020 specialists of Talan were faced by the purposes to automate a number of labor-intensive processes:

• management of powers of attorney;
• work with claims and claims;
• updating of templates of agreements of individual share.

Also within the project it was required to minimize manual transactions and to organize work with archive of documents.

Usually powers of attorney are made out on heads of branches and the staff of Talana sales departments — for the conclusion of transactions. At agreement signature and preparation of sets of constituent documents of the power of attorney use up to 90% of staff of the company. Due to the lack of systematization and storage search of powers of attorney was complicated. In addition, lawyers need to trace terms of powers of attorney and if necessary quickly to prolong them.

In the Directum system the uniform archive of powers of attorney which allowed to reduce several times time for information search thanks to existence of convenient criteria – the organization, the authorized representative, terms was created. And the updated mechanism on tracking of validity periods of powers of attorney helps the staff of legal department to update documents timely.

In Talana several specialists responsible for this work are engaged in accounting and updating of claims and claims. However access to such documents is necessary for all employees of legal management, heads of branch and some staff of other divisions.

In a project deliverable data on all claims and claims it is structured are stored in a system. At the same time change of the status of the claim is fixed, providing a transparent chain of stages from the address of the applicant before court's decision. Thanks to opportunities of flexible configuration address confidential data only the staff of legal department can, to other divisions access is limited.

For each region where sale of real property of Talan is performed, individual texts of standard agreements taking into account specifics of interaction with local banks, features of projects and legislative additions are developed. The large volume of templates of agreements and printed forms is monthly updated — before Directum RX implementation IT specialists of the company had to adjust regularly them in a 1C system.

In a project deliverable of a labor cost of 1C programmers were reduced by 20 times. Now they do not need to update printed forms manually and it is rather simple to make changes to a matrix of the choice of the model or to add variable details at emergence of the model.

Thanks to the designer of documents the staff of legal department can independently make changes to templates of agreements, without involving IT specialists. Standard critical points of agreements are available to adjustment only to the staff of legal department of management company. A system automatically selects a printed form, proceeding from a set of details.
