Yusuf Gafarov, Bakhchsarai plant "Stroyindustriya": About problems of the Enterprise resource planning and the choice of the contractor

Yusuf Gafarov, the chief of data processing center "The Bakhchsarai plant "Stroyindustriya" in an interview of TAdviser told about why among different automation systems "Galaktika ERP" was selected and what results managed to achieve thanks to this solution.

The Bakhchsarai plant "Stroyindustriya" exists more than 50 years. Tell, please, about its activity and structure?

Yusuf Gafarov: JSC Bakhchsarai Plant Stroyindustriya is the only enterprise producing cement on the Crimean peninsula. The plant has considerable long-term experience in the field of production and sale of products in the cement industry and is hi-tech manufacturing enterprise at which more than 700 employees work.

The plant integrates: production of cement, the plant of dry construction mixes TM EKOMIX, a rastvorobetonny node of TM "Bakhchsarai Concrete" which carry on traditions of quality of JSC Bakhchsarai Plant Stroyindustriya, using the Bakhchsarai cement for production of high-strength concrete.

Modern information technologies allow to optimize and improve business processes, you could describe your experience?

Yusuf Gafarov: Economic economic activity of the enterprise we started step-by-step control automation in 2000.

For creation of automated information system the Galaktika ERP system was selected. At the first stage the following problems of automation were implemented: contract management, supply, sale, inventory accounting, management of production logistics, settlings with suppliers and receivers, cash desk, financial settlement transactions, client bank, accounting of purchases of material values, special equipments and special equipments, accounting of OS, intangible assets and hozoperation. At the second stage of implementation tasks of personnel management and time keeping were solved. The third stage included works on automation of accounting records, payroll and further projects on accounting of actual costs and control of transport.

What objectives managed to achieve using Galaktika?

Yusuf Gafarov: In the course of implementation of Galaktika at "The Bakhchsarai plant "Stroyindustriya" it was succeeded to reduce labor input of filling of reports for Rosstat, FTS and the Social insurance. Thanks to availability of all data on workers in one system quickly it turns out to create reports 6-NDFL, RSV-1 and 4-FSS. Very conveniently in a system to receive for Rosstat of form 57-T and 4-F. For tax unloading of the declaration VAT quickly forms that reduces time and labor costs on preparation of the report and its delivery in time. Automation of standard economic transactions allows to exempt working time of the accountant from filling manually of postings according to economic documents. Effectively implemented mechanism of import of the directory of banks and the reference book of administrative-territorial division allows to provide reliable information to the addresses and bank details not only during the work with partners, but also when filling regulated reports. Flexible implementations of the delivery note on a finished goods issue allows to finish without effort it under needs of the enterprise. Heads of structural divisions based on system implementation noted decrease in load of the personnel involved in preparation of the reporting and increase in reliability of production reports in a consequence of decrease in influence of "a human factor".

Also there is a wish to note efficiency of updates of a system which allow to fill and hand over new report forms according to again accepted regulating documents and laws in time. Updates come out for each component separately, thereby giving the chance step by step to update a system.

In case of technical failures or errors of accountants a system allows to execute canceling of actions in the database and also gives the chance to browse actions of users for the specific period. It increases fault tolerance and simplifies work of system administrators. At a large number of users it gives notable advantage.

Tools on completion of a system develop also quickly, as well as a system. Support of the advanced database management systems gave us the chance to support the high level of working capacity and performance.

Whether integration into other solutions working at the enterprise was carried out?

Yusuf Gafarov: The majority of tasks were automated based on "Galaktika ERP" therefore the need for integration of solutions arose not so often.

At different times several integration were executed.

1. Integration with the system of GPS monitoring and cartographic services.

In the module control of transport in different interfaces were added: viewing a route on the card, display of a track of the actual movement on the card, data on a run and engine hours from service of GPS monitoring, editing on the card of coordinates of point of the movement.

In the interface of editing the reference book of the cities added functionality for creation and editing borders of the city which is necessary for calculation of vehicle mileage in urban area.

2. Integration with the system of weighing of railway cars.

In the module "Workplace of the User" created the interface in which implemented a system of accounting of railway cars (arrival, leaving, calibration, lease). Developed ActiveX a component which allows to obtain data from railway scales and to display a form for display of video from the surveillance camera for correct setting of the car for weighing.

3. Integration with the system of shipment of cement a scattering is executed by completion of an output form of the delivery note on a finished goods issue by standard means of Galaktika. Integration allows to write on a counter a task for cement shipment to the client and also to control his accomplishment and authenticity of a counter.

Why for process automation the solution of Galaktika was selected? Whether you compared them to other products?

Yusuf Gafarov: When choosing the automation system we decided to consider first of all solutions of the domestic companies: 1C, Galaktika, Parus. They had functionality necessary for us, but at the same time had advantage in lower cost of licenses in comparison with the western solutions. At the same time accounting in production was implemented only in Galaktika.

At what stage the project and what further development plans for a system is now?

Yusuf Gafarov: At present all projects implemented earlier function and are followed. In initial stage of implementation (acquaintance) there is a module "Controlling" now. In the next plans we intend to complete implementation of calculation of actual cost.

The purpose of implementation of the module "Controlling" is calculation of production costs taking into account versions of the planned expensive articles, the prices of resources, schemes of distribution of indirect expenses. Calculation of actual costs will be executed on the basis of production reports, primary documents created in the module "Management of Production Logistics" or accounting entries.

The module "Controlling" allows:

  • conduct a price catalog of resources and calculate the prices on the set algorithms;
  • execute operational assessment of cost value of accounting items of costs under the set set of articles;
  • calculate planned and actual production balances;
  • calculate planned and actual calculations according to flexibly configured calculation options;
  • calculate and analyze deviations of actual cost from planned and also compare the cost values calculated by different options;
  • calculate economic indicators.

Further due to implementation of the module "Kontroling" we are going to automate cost accounting and costs planning, to carry out integration with management systems for production processes for the automated collection of data on volumes of the made semi-finished products and products and also costs for their production. The solution of these tasks is planned for 2018-2019.
