Document flow implementation
The KS-Consulting company at the beginning of 2018 completed a starting stage of system implementation of document flow in one of medical institutions of Altai Krai. The CASE system and a number of additional options to it were set in administrative divisions of the Altai edge clinical perinatal center "DAR". On May 25, 2018 the EOS Group company reported about it.
Prerequisites of the Project
The high level of technology equipment and the innovation approach to rendering services to the population of medical institution set a high level of requirements and to the organization of processes on section of administration management by organization. The increased volume of document flow demanded implementation of the modern automation system. Before transition to EDMS for management of documents in organization specialized software products were not used – accounting was made by means of MS Office. But growth of number of control documents led to understanding of the fact that for their registration and maintenance of the necessary level of performing discipline the application solution, the works with documents having ready functionality for automation of basic processes is required. The CASE system was selected from the products presented at the market.
Project Tasks
Project tasks which were required to be solved at the initial stage of transition to modern methods of work with documents were the following:
- automation of registration of the main document groups with attachment to a form of accounting of their electronic image;
- possibility for the persons responsible for control, using the tools which are built in a system to monitor accomplishment of orders of the superior organizations and instructions which are taken out by the Chief physician;
- possibility of quick search in all base of the registered documents according to single search data or on their combination;
- report generation about executive discipline in the automatic mode by the selected parameters.
Project Progress
The customer purchased jobs of EDMS "DELO" and also additional options – Scanning and Monitoring of Documents. A system was unrolled in organization in the first quarter 2018. The receptionist and the staff of the general department became users. After carrying out inspection and collecting of necessary information were entered to base: list of correspondents, inner pattern of the organization, subject heading list of citizens' appeals. For implementation of accounting all necessary document groups (entering outgoing, administrative documents, citizens' appeals are got). After the end of implementation of EDMS and completion of learning process of employees, specialists of KS-Consulting developed the instruction for work in the EDMS "DELO" considering features of document flow in the organization.
Project Results
All tasks sounded by the customer on start of the project were solved in the course of implementation. Also wishes of each user on individual preferences of work in a system were considered. At document registration the additional settings of a system allowing clerks to facilitate as much as possible work on data entry are used. The Monitoring of Documents application serves for the notification of users on events in a system (including about approach of planned date of execution of documents) through the messages appearing in notification area in a computer task bar even if EDMS is not started.
