On May 30, 2018 the SKB Kontur company announced transfer of document flow of PIK Group company to an electronic form.

PIK group works in 10 Russian regions. Monthly it sends and receives more than 200 thousand documents.
"PIK Group is a structure from a set of the organizations on which documents pass a long way. When they on paper, are constantly lost, wait for the signature on tables of employees, errors in them are found late, and information is brought to information systems manually. All this produces errors, delays document flow, so, brakes and complicates accounting". |
Legally significant electronic document management (e-document flow) integrated with information systems of the organization solves these problems due to automation of many stages and data transmission on the Internet. PIK Group selected the operator of e-document flow SKB Kontur and its Kontur.Diadok service. In it it is possible to configure divisions and by that to reflect structure of departments which participate in approval of documents. Only those employees who work with it get access to each division. By the set parameters the Diadoc itself distributes documents on the necessary divisions and by that performs practically all work on approval.
As in PIK Group there are a lot of signers and each of them needs the qualified electronic signature (QES), the Group seized the opportunity to organize the Corporate Center of Registration (CCR). It considerably accelerates and simplifies receiving QES for employees. If at traditional option each signer files a set of documents to SKB Kontur certification center, then here they just write the request to department of technical support. The employer already has confirmed up-to-date data of employees therefore KTsR just sends them to the operator, removing from it need to check the provided information. The employee receives QES in one working day.
"A problem of manual data transfer in the accounting systems — the PIK Group uses 1C, Directum and Tessa — integration into the Diadoc which is implemented via the module for 1C and means of API solves them. It means, as the systems of the company, and e-document flow service operate with the same data: they do not need to be copied, got, transferred and in general to make any actions manually. It not only accelerates document flow, but also nullifies risk of distortion of data". |
The company transferred to an electronic form many acts of the performed works, invoices, invoices for payment, agreements, supplementary agreements. There is a work on that on their basis tasks for payment automatically formed. As a result the scheme at which the prices and volumes are controlled automatically will turn out, acts form on the basis of agreements, and right after signing of acts the task on money transfer automatically goes to bank. Processing of a document package will occupy time minimum.
"Thanks to e-document flow accounting will not be as earlier to reflect primary documents, working with the paper or electronic document revision and analyzing details. PIK Group began to prepare for transition to e-document flow in advance. Any partner who wants to work with it should be registered on the website of the company, fill out the questionnaire and sign it with the electronic signature. Thus, any company which works about PIK already has KEP, so — it can exchange electronic documents.
