On July 2, 2018 the company Directum announced what the company "Slavkaly" automates document flow with the help of the solution "DIRECTUM + Prestima". Work with correspondence and internal documentation is conducted completely in electronic form in ECM- a system DIRECTUM.

Slavkaly implements construction of Nezhinsky mining and processing works (GOKA) in Republic of Belarus

In 2017 the Slavkaly company began to work with the solution "DIRECTUM + Prestima" which provided transparency of planning of budgets and allowed to manage costs in a foreground mode. The solution is integrated with system 1C thanks to what users work in the single interface. This stage became the first step in failure from paper.

Process optimization of office became the next stage of the project. The management set the task to completely exclude cases of loss of letters and duplication of answers. Before automation different divisions could give answers to the same letter, opposite on sense.

Due to implementation of the module "DIRECTUM: Office" processes are automated:

  • consideration of incoming correspondence;
  • approval of outgoing and internal documentation;
  • reporting according to documents and instructions.

All procedures of office-work rely on an organization structure of the company, and budgeting – on financial where divisions are distributed on the centers of the financial responsibility. So for correct passing of processes of office of the available reference books it appeared insufficiently. It was required to develop additional – with information on divisions of the company and for fixing of correspondence with partners.

As Slavkaly is child structure of the foreign company and works with partners from other countries, the translation of documents often is required. For this purpose the stage of translation of the text is added to a route of approval.

All processes after automation considerably accelerated. Even if the head is absent on site and cannot sign the document, instead of it it is done by the deputy.

The clerk scans the signed letter and brings it in a system. At the same time it is possible to find information where there is a paper copy in a registration card of the document.

During creation of the document from the file in a headline it is possible to insert barcode for check of compliance of the sheet of approval and the document. Further the company is going to implement technology fast identifications documents RapID and DCTS – a set of the services facilitating mass input and conversion of documents to DIRECTUM from external sources.

For June, 2018 more than 130 employees of Slavkaly participate in processes of office. At a grade level they estimated that all documents are stored in an ECM system and it is easy to find them, but the most important that it is not necessary to go on divisions with a pile of papers any more, noted in the company.
