On November 14, 2018 the 1C-Rarus company announced control automation by difficult supply chains in Ochakov Logistic Company LLC ("O.L.K.") with the help "1C: Motor Vehicle Management PROF" and "1C-Rarus: Transport logistics and forwarding".

Prerequisites of the Project

"The Ochakov Logistic Company" for November, 2018 is provided in 22 cities of Russia. Monthly "O.L.K." takes about 7000 orders for transportation and makes more than 1000 runs on 10 own and 200 raised vehicles.

Earlier management of transportations in the company was not automated. For processing of requests of clients, calculation of cost of services and planning of routes spreadsheets which large number generated errors were used and significantly slowed down accomplishment of orders. Waybills and requests for repair and a consumption of fuel and lubricants were made out manually that also reduced service rate. It was difficult to monitor task performance on transportation, to control settlement with contractors and clients.

Project Tasks

For effective customer interaction and increase in profitability it was necessary to automate management of transportations: accelerate order taking and their registration, optimize formation of runs taking into account weight and dimensional characteristics of loads and features of their transportation, convenient routes, to provide uniform loading of vehicles and to organize control of accomplishment of orders. Tools for easy collecting and data analysis on the enterprise were required. It was in addition necessary to reduce labor costs of sales managers by order processing and calculation of cost of services.

For solving of tasks the management of the enterprise addressed to 1C-Rarus, specialists of the company suggested to create an information system on the basis of the solution: "1C: Motor Vehicle Management PROF" for accounting of work of own vehicle fleet and "1C-Rarus: Transport logistics and forwarding" for accounting of deliveries, work with contractors, managements of warehouses.

Project Results

The information system was unrolled in 58 workplaces in sales department, in departments of transport and warehouse logistics, in motor transportation workshop, in accounting and legal department.

Key results:

  • A system is integrated with the corporate website. Clients can independently calculate the rough cost, the delivery schedule and to issue the online request. The correctness of filling of the request is checked automatically, with informing the client in case of an error. As a result time of processing of the request was reduced from 10 minutes to 30 seconds. Also customers can keep track of the status and location of a load using GLONASS and GPS systems integrated with a system or to learn about advantageous offers from a personal account. All this positively affects customer satisfaction: polls held by managers "O.L.K" showed that the client loyalty significantly grew. As a result within six months after project completion the volume of transportations grew by 20%. Customer interaction through a personal account allows the company to save resources on additional mailings, calls, a courier delivery of documents.
  • All entering and outgoing calls and letters are registered in a system. There was an opportunity to give the statuses to stages of customer interaction, in detail to specify the list of loads of the client, the maximum weight and height pallets, the planned sales volumes and income, to register reasons for refusal of cooperation. Consolidation of all information provides succession of managers: several employees can work with one client, without spending a lot of time for search and studying of information.
  • Formation of runs and planning of routes became simpler. A system automatically calculates the volume of a package necessary for transportation of the order. The employee of transport department can estimate loading of drivers at several clicks and to appoint responsible, to select the vehicle, to set a required type of packaging and temperature condition, to specify loading time, to make an optimal route with the minimum costs. The set-up time of way bills is reduced from 15 to 1 minute.
  • The cost of services is calculated automatically, at the same time such parameters as the distance in kilometers, weight, volume and type of a load, quantity a pallet, point of sending and delivery are considered. It is possible to calculate the cost by several methods: a fixed amount, in the form of a scale of charges, percent from basic services that allowed to increase flexibility of tariffing. Drawing of accounts for support of documents and warehousing services - providing a pallet, safe custody and other transactions is automated.
  • Control of accomplishment of orders and work of forwarding agents is provided: registration of the reasons of deviations from a route, accounting of terms, damages and claims.
  • Operational inventory control, including accounting of safe custody of loads is organized. There was an opportunity to plan receipt of loads for a warehouse, it helps to distribute more effectively warehouse spaces and loading of personnel. Besides, accounting of work by turns of warehouse workers and also quantities shipped a pallet that allowed to estimate efficiency of department of warehouse logistics is implemented and to correct it. As a result when preserving the same number of staff capacity of a warehouse and extent of accounting increased, receptive period and issues of a load was reduced and also losses of a load decreased.
  • Work with contractors is optimized. Managers keep account of the rented transport in a system, keep track of the statuses of accomplishment of orders, control payment for the services of contractors. There was an opportunity to create statistics on listed to criteria, to estimate reliability of each supplier and to consider it at further cooperation.
  • Preparation of the reporting became simpler: more than 30 reports which are earlier created manually form in 1C for several seconds. The uniform reference book of requests and accounts, the register of agreements and their statuses, reports on the debt of clients and the planned sales volume and income help the management to analyze activity of the company, to control and estimate work of managers, logisticians and forwarding agents.

"The system created based on "1C:Enterprise 8" reflects all nuances of transport activity - we lacked it. We managed to optimize accounting of vehicles, routing and calculation of carrier cost, to organize control of forwarding agents that positively affects customer satisfaction. Using the created system we solved one of key problems - refused a set of spreadsheets and completely automated business: from communications with the client before delivery of a load to doors of its office. The single system allowed to adjust information exchange between departments, to simplify collecting and data analysis on all enterprise, to provide transparency of activity. Result - much the grown sales".
