"The house of Pharmacy" implemented the system of conducting archiving "Etla"

On June 3, 2019 the Atlas Soft company reported that NPO Dom Pharmatsii uses electronic archive "Etla".

The company performance House of Pharmacy is connected with permanent processing of a large number of documents, access to which it is necessary not only to differentiate strictly, observing confidentiality, but also to provide online access to any section of storage with a possibility of issue both the electronic copy, and original of the document.

In selection process of a suitable system of electronic archive specialists of consolidation formulated the necessary list of requirements:

• support by the system of work with delivery inventories and documents acceptance on them;
• management of originals of documents of storage with reservation and accounting of storage locations of boxes;
• formation and accounting of boxes - as containers for storage of affairs and documents;
• processing and accounting of requests for issue of documents;
• existence of stream input of documents from the scanner;
• reliability of data storage with existence of additional instruments of enciphering of documents and enciphering of data transmission channels;
• protection of a software package against a different type of network attacks;
• existence of the automated mechanisms of backup both the database, and base of documents.

Existence of tools which allow to configure and implement a system by forces of specialists of the customer, with a possibility of receiving consultations at specialists of Atlas Soft was one of selection terms of a system.

During setup and system implementation the full stroke of works was executed:

• user groups are created and access rights to documents are appointed;
• rules of the automatic name, placement and numbering of documents are configured;
• cards of documents and reference books are configured;
• the structure of a warehouse of storage of originals of documents is created and brought in a system;
• the request form on issue of the original is configured;
• automatic interaction of archiving and electronic archive at placement/issue of affairs is configured;
• work with delivery inventories is configured.

Also was installed the additional server of control over functioning of a system which:

• traces a status of disk space on servers and network storages;
• traces a status of servers of the Etla system;
• performs backup of documents and the database, according to the configured schedule;
• makes verification of integrity of the existing backup copies using checksums.

The server of control executes all above described transactions under advice the system administrator, sending different messages and warnings both through mail and SMS, and in the system.

As a result of system implementation of NPO Dom Pharmatsii completely automated work with storage and issue of originals of documents, provided reliable storage and many times accelerated access for employees to necessary information.
