2019: Automation of process on management of financial document flow

On July 24, 2019 it became known that Duracell the Russia company, the Russian division of one of world leaders in production of batteries and accumulators, implemented completely automated process on management of financial document flow based on the modular platform OmniTracker. The company "OMNINET Russia and the CIS", the Russian division the European of the supplier of software products for automation became the solution designer business processes. According to the results of the implemented project in Duracell Russia received the modern platform for process management in the company including workflow system with the transparent scheme of approval of documents and a possibility of remote viewing and approval. Besides, within the OMNITRACKER system are implemented storage also archiving of agreements with indication of the version of each document and also maintaining base of partners.

We finished the project on implementation of the automated process control system in Duracell Russia in April, 2018. At the same time we practically from "zero" configured for Duracell functionality of the platform taking into account requirements of the customer and regulations approved in the company for interaction with partners and to internal document flow. And here the OMNITRACKER platform showed the strengths, speaks Michael Dobner, the CEO of "OMNINET of Russia and CIS"

The financial department of Duracell acted as the customer and the main future user of a system. At negotiations it was talked of implementation in the company of a modern system of electronic turnover and storage of key documents – financial, accounting, legal and also correspondences with partners, clients and distributors. Several objects were set for the system developer: implement in Duracell Russia processing system according to the uniform standard of all arriving documents, tracking of start and end dates of agreements for start of the procedure of their timely prolongation, the organization of storage of all electronic copies of documents for all their lifecycle, including documents regarding work with suppliers on the Due diligence procedure.

According to Michael Dobner, the standard functionality of the "boxed" solution did not close all specifics of the business processes approved in Duracell Russia. However, at setup of a product under requirements of the customer flexible approach – in a system quickly, often even before the end of another meeting with the customer was used, the ideas and requirements concerning schemes and the sequence of processes were reflected. Even the specialists of financial department of Duracell who do not have special technical knowledge could see visually, literally in the course of negotiations on acceptance of the next stage of works as system configuration and the processes put in it changes. As a result along with basic functionality, the customer received idle time and the intuitive interface for work with documents, a possibility of attachment to the document of the supplementary agreement, completely configured fields according to the regulations approved in the company and some other options.

Not the last role in the choice by the customer of our platform was played by the fact that ourselves use the OMNITRACKER system in the Russian division. Customers, coming to negotiations to our office, can see how we automated processes and implemented document flow at themselves in the company. One case when all this is shown in the presentation, another – when the solution of these tasks can be seen in practice, in really working company, explained Michael Dobner, the CEO of "OMNINET of Russia and CIS"

Besides, Duracell in the solution OMNITRACKER attracted flexible opportunities of this modular platform for setup and connection to the system of additional business processes^[1].
