2020: Optimization of internal business processes

The developer of IT solutions in the field of health care optimized internal business processes with Directum RX. Approval of contractual, project, procurement documentation is accelerated, processing of correspondence is organized. In a system 10 geographically distributed divisions work. Besides, legally significant electronic exchange of documents with partners is adjusted. On July 3, 2020 the Directum company reported about it.

In the company for July, 2020 more than 600 employees work, at the same time territorial subdivisions are in 10 different cities of Russia. Using e-mail and other means of communication paper document flow was adjusted. In the course of its operation there was a need to accelerate processes, to increase their transparency and efficiency.

When choosing a system of digitalization of business processes and document flow specialists "RT Medical Information Systems" paid attention to ergonomics of the interface, flexibility of setup of regulations of approval and an opportunity to work in the web client. Directum RX conformed to all these requirements.

Works on implementation conducted completely in the remote mode. Thanks to operational interaction of commands from the customer and Directum company in 2 months it was succeeded to carry out assigned tasks in full:

• work with internal documents — memos and orders is completely transferred to an electronic form. Within internal document flow use of the qualified electronic signature also began;
• work with the entering and outgoing correspondence is automated — now documents are registered and approved in a system, execution of instructions on them is always easy to find and check them;
• all agreements and documentation on purchases are stored in uniform base and approved in Directum RX according to fixed terms. The initiator can always trace at what stage of consideration there is a document and to address the history of approval in case of disagreements. Processes consider the regulations admitted to the companies, and at their change the corresponding corrections are easily made to settings of a system;
• end-to-end process of electronic interaction in the company and with partners is built. The entering invoices for payment will be approved in a system, and contractual documents after signing automatically go to the partner through service of electronic exchange, and a system controls their return;
• the convenient archive of the project documentation is created: all documents are distributed according to the corresponding folders, and a system automatically issues the rights to project participants.

Employees can be connected to working questions and documents at any time, even far from a workplace, using mobile applications of Directum Jazz and Directum Solo.

Only in 1 month of trial operation users created about 1000 documents. For the beginning of July, 2020 a system is transferred to commercial operation. Is going to continue development of the solution: transfer work with new types of memos, minutes of meetings and personnel documents to an electronic format; add a feature for a binding of projects to regions and also several external customers.
