2019: Optimization of EDMS

For July, 2020 nine separate divisions located in Moscow, Togliatti, Ufa, Nizhny Novgorod, Tomsk, Samara, Ulyanovsk, Tyumen and Sarov are a part of engineering and production holding of "those SKAD" already. Koderlayn LLC automated the 1C: Document Flow CORP system for its optimization on the next moments:

• Creation of uniform base of archive of documents, ensuring control of the movement of documents.
• Reducing costs of time of employees for document handling, automation of process of issue of instructions and control of their execution.
• Possibility of carrying out efficiency analysis of work and load of personnel.

Specialists of Koderlayn LLC structured technical specifications, approved actions with our management and held productive dialogue with the staff of departments of That SKAD. Having revealed problem places of a system and part of the program which need to be upgraded, programmers were accepted to completion "1C: Document Flow CORP":

Having analyzed business processes of the company, made completion of the existing workflow system of the company, in particular, changes concerned reference books "Outgoing Documents", "Incoming documents", "Internal Documents". The implemented functionality allows to trace a way of the document for the last working day.

The structure of base remained the same, but the archive of documents was finished so that it was possible to complete easily the agreement and in several actions to send it for preserving. Also expanded navigation tools on the existing workers and the fulfilled documents.

Made setup of access rights of users to certain categories of documents that allowed to solve two problems at once: to the employees only the necessary documents but not all existing, and that fact that they cannot make changes to them are highlighted.

Operation manuals of a system were developed with special scrupulousness, requests of the collective working with the program therefore before a final statement we held meetings of employees for acquaintance with system innovations were considered.

At the end integration with a system "1C:ERP is executed . Enterprise management", synchronization of data was checked, errors and the conflicts of programs are eliminated. And also separately paid attention to paper documents and a question to their accounting in a system.

As a result of automation based on "1C: Document Flow CORP" in "those SKAD" the following results were achieved:

• Processes of search, processing and approval of documents accelerated. There was a possibility of control of terms and results of execution of instructions.
• Costs of working time of the employees who are engaged in contract activities were reduced. Loss of working documents is excluded, archiving of documents is centralized.
• Became simpler works on accounting of paper documents due to their transfer to an electronic form.
