2020: Finalization of the solution "1C: ERP. Construction Organization Management "

There are many companies in the structure of the YIT holding, and historically it has developed that each of them has a separate base for keeping records. Despite the single chart of accounts and configuration, the same operation in different bases could affect differently. Similar difficulties were observed in management accounting. Support for multiple databases has resulted in inefficient use of IT resources, including through complex access management. Management reports (ad-hoc) were collected in spreadsheets by e-mail exchange. There were also no single directories, which made it impossible to quickly compare data in ad-hoc reports from different companies. When implementing the project, the solution to this problem required great efforts from both the implementation team and the employees of YIT. In addition, it was decided to establish a common service centre that would accumulate the functions of accounting, tax, treasury and IFRS. Without the creation of a single accounting base, this would lead to an increase in costs for SSC.

At the time the project was put into commercial operation, blocks of accounting and tax accounting, IFRS, budgeting and treasury were transferred. Specialists of the Kazan office "1C-Rarus" were tasked with finalizing the literal accounting, automating the reflection of information on actual costs for construction facilities and the reporting unit in accordance with 214-FZ, reducing the deadlines for preparing management reports, increasing the closing speed of the payroll period, as well as developing a tool for the mass formation of online checks for the receipt of funds from buyers and equity holders.
Project Outcomes:
- Literal accounting. Letter codification. Cost management accounting. YIT Group is an international construction company, and cost accounting in management accounting is carried out on the basis of a single directory. Planning and tracking of construction projects is carried out on the basis of a 3D model in the unified project management system of the YIT- iTwo Concern (RIB). When creating the estimate for the construction of a house/office building/parking and other construction objects, the estimate is formed in terms of letter (estimated items). And the main requirement for the "1C" system - costs should be encoded in letters. 1C-Rarus specialists automatically reflect actual costs for construction facilities. Additional registers have been developed for data storage, as well as NSIs and documents to reflect costs with the required analytics. For the convenience of users, reports have been created to obtain summary information on the reflected costs and verify the correctness of the data. This accelerated the process of collecting correct data on actual costs for construction objects and ensured that actual costs were accurately displayed in the Group's unified project management system.
- Increase the rate at which wage expenditures are reflected. Due to the specifics of accounting, payroll costs in the company relate to projects and letters. At the same time, one employee could perform his duties on different projects and letters for a month, which complicated the payroll process. The task was achieved through the inclusion in the process of units that are engaged in the introduction of information on the work of employees in the context of projects and letters. In addition, 1C-Rarus specialists developed a mechanism for automatically changing an employee's salary project based on data from the system. This made it possible to reduce the time for processing salary payments by 2 times. At the same time, the security and protection of personal data was ensured.
- A tool for mass formation of online checks when receiving funds from buyers and equity holders. In accordance with the requirements of the law, all legal entities engaged in retail or wholesale trade and having electronic means to receive funds must punch and transfer electronic checks to the tax service. To do this, a tool has been developed that allows you to fill in the necessary information in the format of a single window and, by pressing the "one button," sends data directly to the IFNS. This saves users time and almost completely eliminates the human factor.
- Reorganization of the company. To switch the Russian divisions of the YIT concern to a single format of financial and economic reporting, it was decided to combine seven legal entities into one company on the basis of YIT St. Petersburg JSC. 1C-Rarus specialists created processing to transfer balances and turnovers to the created base. The transfer process is carried out in 2 stages in a short time. At the same time, the operational activities of the affiliated organizations were not stopped due to the lack of data in the information system. Thanks to this, it was possible to minimize possible stress for the business.
- Recording of funds in escrow accounts in accordance with 214-FZ. At the beginning of the project, the solution did not have the ability to record funds in escrow accounts. According to the law, the owner of this account is the shareholder. To control the fulfillment of the shareholder's obligations to deposit funds into the escrow account, it is necessary to organize off-balance sheet accounting of these funds. To do this, documents with four types of transactions have been developed, due to which escrow contract transactions are automated. In addition, processing is implemented that allows you to load data on balances in escrow accounts received from banks.
- Automation of the reporting unit in accordance with 214-FZ. Initially, the standard solution did not automatically complete reports in accordance with the requirements of 214 FZ. The document flow of the group is quite voluminous, and it was problematic to manually collect data for reporting. In order to save time and reduce user labor, the NSI has been developed - operational accounting has been classified for automatic collection for the reporting unit. If earlier the specialist needed about 1 month to collect data for the quarter, then according to the results of the project, reporting is formed by pressing one button. A lot of work has been done on refactoring the access control system. Previously, the configuration update process took 60 hours and could lead to staff downtime immediately after the update due to lack of access. Thanks to the work done, it was possible to eliminate such risks and reduce the update time by 2 times. For July 2020, the refinement and maintenance of the system continues. The system employs 300 users.
