2021: Directum RX Implementation
On November 17, 2021 the Directum company reported that one of large suppliers wind power ustanovokred Wind B.V. implemented the RX Directum system.
andRed Wind B.V. is a turnkey supplier of wind power plants and a manufacturer of WEU components created by NovaWind (Rosatom Group of Companies) and Dutch technology partner Lagerwey for development in the Russian Wind Energy Industry.
Each day, company employees manually processed incoming, outgoing, internal, and contractual documents. A large number of performers participated in the coordination, the process was complex, opaque, slow. The risk of losing documents was high.
Before the launch of the Directum RX implementation project, the company management paid special attention to the following points:
- Many decision-making officials are located in different regions - at Red Wind B.V. several branches.
- Due to the large number of reconciliators, the difficulty of finding current versions of contractual documents has increased.
- The company has formed a special process for recording some financial documents. After paper approval, the primary was manually entered into the 1C system.
It was important for the customer to automate the work of employees in terms of document flow and contractual activities. For this purpose it was required to introduce the flexible mechanism of coordination, to carry out integration with a registration system, to begin use mobile prilozheniydirectum with Jazz and Solo.
The basic processes of working with documents had to be transferred to the Directum RX system and digitalized in the following areas: office work, contracts, financial archive, control of executive discipline.
The main performer of the work on the project was Akelon, the vendor's general partner. The implementation of Directum RX at Red Wind B.V. took 9 months. The project team included 20 specialists from the contractor and the customer.
The Akelon team analyzed the client's business processes and identified two large blocks of work. The first was closed by the basic capabilities of Directum RX, and the second required configuration and adaptation both from the side of the implemented system and from the side of the customer's software.
During digitalization, 5 design solutions were created for each business process block and 3 additional modules. Training of Directum RX system administrators, developers and ordinary users was conducted.
The following tasks were most interesting from the point of view of implementation:
- Working with sensitive data. If the document contains information that cannot be made public, users can make an appropriate mark directly in the card. The following secrecy labels are available: trade secrets, for official use.
- Stamping the registration stamp. The registration of incoming letters has become more convenient. The latest version of the document is automatically converted to PDF and stamped.
- Fill in the reconciliation sheet. When working with contract documents, the company uses a bilingual agreement sheet of an individual format. As part of the implementation project, its filling was automated.
- Integration with "1C: ERP Enterprise Management 2.4." The work on integration of Directum RX with an external system was built in three different keys.
A significant amount of document work at Red Wind B.V. went into electronic format. With Directum RX, 17 business processes are digitalized, including:
- registration and review of incoming documentation;
- internal coordination and sending of outgoing letters to correspondents;
- negotiation, signing of contractual documents and their transfer to the accounting system;
- harmonization of financial documents and payment registers, transfer of the results of approval to the accounting system;
- coordination and acquaintance with organizational and administrative documents (orders, orders, protocols and decisions).
In addition, tools were introduced to monitor the effectiveness of executive discipline of employees and functional departments of the company.
Digitalization covered 300 users, including 50 trained specialists, as well as 15 top managers who work at Directum RX in mid-November 2021.
According to the company, two months after the launch of the system, Red Wind B.V. created 15,500 documents, 14,000 tasks, of which 2,200 were tasks for approval according to the regulations.
