2022: Implementation of the electronic document management system in the dental clinic

On June 6, 2022, the Electronic Office Systems (Soft) company announced that KGBUZ Regional Dental Polyclinic at the end of 2021 joined the use of the DELO electronic document management system, the EOS software company. The project was implemented by KS-Consulting, a partner of EOS in the Altai Territory.

Prior to implementation EDMS , Kraevaya dental policlinic conducted traditional document management without using software products. Documents and assignments were recorded in paper journals, and then the secretary sent instructions to employees by. e-mail The control was not implemented in a magazine format - the quality and timing of the execution of orders depended only on the employees themselves. Thus, automation required the entire chain of work with documents: registration, communication to the contractor and familiarization, control over the execution of orders, approval of projects.

The desire to abandon paper copies of documents was dictated not only by the general course towards digitalization, but also by the desire of the polyclinic management to work mainly with electronic originals in the future.

As a solution for automation, the DELO electronic document management system was chosen. Before the start of the project, the organization had already used one workplace of this system to interact with the Ministry of Health of the Altai Territory. The Ministry of Health, like the rest of the executive authorities and the Regional Government, work in the Unified EDMS of the region, created on the basis of Dela.

Within the framework of the project, the following operations have been transferred to electronic format:

• registration of documents and orders;
• sending orders to the executors, familiarization with the orders;
• Working with memos
• approval of draft orders and outgoing letters.

In addition to the AWS DELO-Web"," the customer purchased licenses for the EOS Desktop Service application. This option allows you to edit projects that have arrived for a visa directly from Case-Web, without first downloading the file to the computer user.

During the project, user training was organized. Students were divided into 2 categories, depending on the operations that they needed to master. First, the course was attended by a group of employees who were to work in the EDMS as executors of assignments. Then individual training was held for specialists of the human resources department, secretary and chief physician. After that, within 3 days, all users got the opportunity to work in the system in the mode of author's supervision - if there were any questions, the KS-Consulting implementation department promptly answered them.

The main tasks set at the start of the project were solved. In the future, the management of the clinic is considering the possibility of abandoning paper originals and using electronic podpis.​ for approval of documents
