Pre-Project Situation

To organize the reconstruction, modernization and construction of new traction substations, facilities and power lines of the railway power supply network, a timely process must be carried out from processing applications from customers to concluding contracts, including procurement procedures in accordance with the law. For each project, it is necessary to store a full package of documents, starting with correspondence and ending with contracts with all appendices to them. Within the same project, dozens of contracts can be concluded with various suppliers.

Previously, information about projects was stored in spreadsheets, in different departments of the enterprise. It took a very long time to verify and analyze this information. The reports that the management received did not always contain all the necessary information, which made it difficult to monitor the state of affairs and find ways to optimize the operation of the enterprise.

Project

The management of the corporation decided to organize the storage of all documents in electronic form. This required an information system that allows you to store and quickly provide employees with reliable, document-backed information on each project, as well as monitor the implementation of each project with both the supplier and the customer in terms of delivery payments.

WiseAdvice-IT specialists have proposed a model for building a system in which a single document repository will be organized using the 1C: Document Flow of 8 program of the KORP version. To obtain operational information on the progress of projects by customers and suppliers, this program could be easily integrated with the 1C:ERP program, which was also implemented by WiseAdvice-IT specialists.

Results

• Original documents (correspondence and contracts) are registered and submitted to departments for scanning and placement in the program. In further work, only scan copies are used. Thus, the loss of original documents is excluded and the process of information exchange is accelerated.
• Thanks to the integration of programs 1C: Document Flow and: 1CERP established constant exchange data about counterparties and business transactions to track the implementation of the project. This avoids duplication of work and ensures that project information is complete. Significantly reduced the time to provide management with reports on the progress of projects and their financial information.
• Managers of the corporation receive complete, supported by the necessary documents, information on the progress of projects.
• The program records the deadlines for the execution of documents. The system can notify responsible employees, set reference points, and forcibly reassign tasks to departments. Thus, delays associated with the human factor are prevented, timely adoption of management decisions is ensured.
