2023: Optimizing Order Fulfillment with "1C:Enterprise 8 "
On May 17, 2023, 1C announced that SoftService specialists had automated the work of Avtomashny Dom Energia GmbH, a distributor of Mercedes-Benz Group AG in Belarus. The updated system was created on the basis of the solutions "Alfa-Auto: Car Dealership + Auto Service + Auto Parts KORP," "1C: Accounting 8 for Belarus," "1C: Payroll and HR Management 8 for Belarus." As a result, procurement, maintenance and repair planning were optimized, and 2 million items of spare parts and accessories were promptly recorded in warehouses and service shops. A web service has been created that promptly notifies customers of the status of their orders. The volume of warehouse balances decreased, sales of additional equipment and accessories increased. Management monitors the work of departments online. Processing and fulfillment of orders are accelerated by 25%.
According to the company, earlier the company used the information system of another vendor, while not all tasks were automated. Data divisions were misaligned, part of the management information it was stored in spreadsheets. It was impossible to track the current data on the remains of spare parts and accessories in warehouses and in the workshop. It took a lot of time to prepare management reports. It has been difficult to plan repairs and maintenance, cars manage personnel load, monitor costs, employee work and their working hours.
The company needs another information system that would allow to optimize the management of purchases and warehouses, interaction with suppliers and customers, planning and control of work, to ensure the prompt formation of reports for management.
To solve the tasks, a set of solutions 1C was chosen: "1C: Accounting 8 for Belarus," "1C: Payroll and HR Management 8 for Belarus" and "Alfa-Auto: Car dealership + Car service + Auto parts KORP 6." The partner in the project was LLC SoftService.
During the project, the system was deployed in all divisions of the company: sales in the automotive and spare parts departments, in the paint and body and repair shops, in the supply and logistics department financial , department, in, safety and marketing security service, in accounting and human resources department. Integration was carried out with supplier bases, factory systems of the concern, Daimler AG payment bank and services, with ERIP, the DPU Input software complex and the Electronic Invoice Portal for VAT national information resources of Belarus.

- The system reflects information about the work of each department in online mode. Incoming data is processed "here and now," the need for double data entry is excluded, the problem of information mismatch is eliminated. Management receives real-time management reports to monitor the operations of the units.
- Electronic storage of information for each client is organized, now it takes no more than 5-10 seconds to search for a client, customers do not have to wait long for identification. Preparation of sales documents takes 2 times less time and does not allow errors. Requests are promptly forwarded to the responsible manager, clients are transferred from one specialist to another. The issuance of financial documents is optimized. As a result, the processing of orders accelerated by 25%.
- The system reflects the history of interactions with customers: car repair and maintenance services provided to customers, the frequency of maintenance. Sales of additional equipment and accessories have increased, as managers immediately see what will be useful to customers and recommend buying.
- Employees of the appointment receive notifications in the system about the need to interact with certain customers for predicted activities. Implemented, telephony which allows you to make calls to customers directly from 1C. The call history is stored in the system. A web service has been created that notifies customers of a pre-appointment for the service, the status of car repair, and the need for timely maintenance. The mechanism for predicting the timing of maintenance was developed jointly with the client - when calculating the date of planned maintenance, the frequency of repairs, expected mileage, age of the car and other indicators are taken into account. Integration with the payment service and the national ERIP system optimized settlements with customers. The company's loyalty to customers has increased.
- It became possible to quickly draw up a service and repair plan, taking into account the employment of employees, workplaces and equipment, as well as the time required to complete the work. Integration with supplier databases allowed you to create orders for parts, track their status, receive information on current prices and balances directly in 1C. The term for the provision of services and the fulfillment of orders was reduced by 25%.
- A flexible part pricing mechanism has been created for service and sales departments. It became possible to control and promptly regulate the level of stocks of accessories and spare parts in warehouses and in the workshop. Volumes of inventory balances are reduced.
- In addition, receivables have been reduced.
The introduction of a comprehensive automation system based on Alfa-Auto: Motor Show + Auto Service + Auto Parts KORP made it possible to optimize the work of almost all divisions of the company. We have optimized purchasing and sales management. We accelerated customer service, provided them with a convenient web service, began to fulfill orders and provide services a quarter faster. The updated system optimized the accuracy of accounting and planning, reduced the number of errors in calculations. A significant plus is that reporting is now generated automatically, as quickly and as easily as possible.
