It is good, of course, to know exactly and always remember what product and how much is stored in the warehouse. But in order to fulfill buyer orders without errors, the seller must also have specific information. For example, that the size of tires and disks for the same car model differs depending on the year of production. Yes, usually the remainder of the item can be viewed in the accounting system. But is he accurate? After all, document management is conducted 'on a piece of paper'.

"For a long time we worked in the old fashioned way: paper invoices, regular" running "to a computer, searching for some data in 1C, checking products at storage places," said Dmitry Mikhailovich Lebedenko, director of information technology at PinAvto.

For more than 30 years, PinAvto has been providing its customers with cars of all types and sizes for cars, trucks and special equipment, while developing a network of its own retail centers. The number of which today already has 20 points and 7 trading branches. The company cooperates with almost 3000 partners in Russia and is represented in the largest cities of the Southern Federal District - Krasnodar, Rostov, Stavropol, Astrakhan, Crimea, Voronezh, Volgograd.

'Our product range is quite wide., We receive products from various brands directly from the manufacturer. And we ourselves import from China. The nomenclature now has several tens of thousands of names of types and sizes of car tires, the remnants in the warehouse reach half a million units, and the number of storage points is several

dozen.

We always recorded the data on the initial placement and the place of the last issue of goods in '1C: Trade management 10.3', then printed the invoice with a list of the assortment, and the storekeeper passed and physically collected this goods. A few years ago, half of the market did not keep digitalized accounting for products at all. Everyone used the simplest warehousing schemes and the simplest document flow to assess purchases and balances, "said Roman Pashkovsky, director of labeling at PinAuto.


Tasks

The main task of the seller is to serve the buyer so that he returns. But the human factor and mistakes constantly interfere with the increase in customer loyalty. And transferring and sending goods not by order entails additional costs for returning products and compensation for damage to complaints.

Where it all started

'The issue of tire marking was still discussed, and we have already begun to prepare B2B partners and conduct dialogues with manufacturers and suppliers, came into contact with the CRPT, worked closely with business colleagues - exchanged information, provided assistance and

assistance to each other

And although these actions helped us move faster than competitors, at a certain moment we still realized that relying only on our IT department, managers and heads of departments, we will not have time to prepare for the required time in full labeling, "said Alexander Bogdanov, managing director of the network of bus centers' PinAuto '.


Refined for 15 years for the needs of the company '1C: UT 10.3' completely suited the staff of'PinAuto'. But the introduction of marking of car tires and tires made it clear that there is a lot of work to be done to optimize accounting. Since writing on pieces of paper and transferring data manually to the accounting system is the last century, and you need to move away from this. This accelerated the transition to the new 1C configuration.

The obvious benefits of moving to the next level

The management of the company "PinAuto" sought a format of work in which the remnants can be controlled at the moment. So that the storekeeper, seeing the cell and data inconsistency in the accounting system with the product at the storage site, can immediately eliminate the discrepancies. With this mechanism, employees do not need to interact with the PC all the time, everyone is busy performing direct tasks, and not a routine.

'We initially conducted a market analysis. And immediately discarded solutions based on 1C. With a large amount of data, they overload the shipping documentation, freeze and it becomes simply

impossible to work

The working group specially created for the project got acquainted with the technical parameters of "Cloverens" and its capabilities, tried to perform operations online. That is, we went to the warehouse, scanned the stamps on tires. As a result, they unanimously chose 'Kleverens' software in the basic configuration, "said Dmitry Lebedenko, director of information technology at PinAvto.


What I wanted to get

It is not always possible to correctly and accurately organize the process of applying DataMatrix codes within one company the first time. And when interacting with foreign partners, in addition to taking into account the specifics of the business of another country, you also have to fulfill your own requirements.

'It does not matter where we supply the goods - from China, from Korea, as an importer, our company is obliged to apply DataMatrix codes on this goods even before importing into Russia. That is, you need to order and generate CM, transfer to the supplier. And only after that, at the manufacturing plant, our order will be marked for shipment to the Russian Federation. When labeling was just gaining momentum, there were no such processes around the world, and we already used it

.

We set several main tasks that we wanted to close using automation:

  • implement compliance of characteristics in DataMatrix code to automotive buses,
  • accelerate the work of the warehouse as a whole and line personnel in particular,
  • 100% exclude re-transfer and human errors,
  • get a working tool for tracking inventory balances in real time, "said Dmitry Bezvazny, Purchasing Director of PinAvto.


Decision

When working in a warehouse - 'in the fields' - the storekeeper does not have a PC at hand, it is inconvenient to carry a heap of papers with him, and to fully change the data on the balances, you need to interact with the accounting system. Of course, you can organize communication between two employees by phone - one will always be at the computer, in the second near the shelves with the goods. But it is much more effective to introduce specialized software and provide a shipping documentation storekeeper. This will help optimize internal processes.

In search of a ready-made solution

'We used to unload containers with stamps for 2-3 hours: get the tire, take it to the scanning area, make sure that the sticker does not fall off, count the CM. And the codes don't 'peak'. IT specialists "PinAuto" chose software for shipping documentation independently: they uploaded a test document to the device and monitored what was happening in brands, how the software worked, how information was collected. The implementation was carried out in-house and with the help of integrators of MainService. It took 30 minutes of pure programmer time to install and configure the 'Kleverens' software.

New algorithm of work

'Thanks to' Warehouse 15 + TIRES 'storekeepers can immediately see their stock balances and the cost of goods on the shipping documentation, respond in a timely manner to what is in the cell. Labeling always begins with

acceptance.

As soon as the products arrive at the warehouse, the procurement department accepts an electronic document according to, E-DOCUMENT FLOW generates an acquisition document and uploads them to the storekeeper's terminal. Warehouse employees during acceptance scan the goods and see which codes are not read, which were sent incorrect. And they can either immediately re-label the tires, or check with the supplier about the discrepancies, "Alexander Bogdanov shared his working moments.


In the "Acceptance" operation, integrators and IT specialists "PinAuto" implemented the ability to automatically reissue CM during the marking process. As soon as the product was physically unloaded from the machine, the system itself at the time of reading separates the DataMatrix codes into correctly and incorrectly filled ones. If necessary, the storekeeper on the printer prints the correct stamps and glues tires with them.

'Each of the 5-6 storekeepers in the shift now has a shipping documentation. Several Wi-Fi points are connected on the warehouse - we want to transfer all accounting online - mobile computers are constantly on the network. Both the work time and the performance of specific operations by the storekeeper begins to be taken into account at the terminal as soon as the employee connects under his

account.

Of the operations available at the terminal, we perform acceptance, shipment, conversion of goods in the cell and movement. Working with Honeywell Scanpal EDA51K and Honeywell ScanPal EDA50. This modern equipment has shown itself well during test scanning. It was fundamentally important for us that the gadgets were durable, as they can be easily dropped. And so that the shipping documentation has a fast code reading system - to reduce the time spent on unloading/loading, "said Roman Pashkovsky, director of labeling at PinAuto.


Results

Digitalization helps to collect various data necessary to understand internal processes: how much goods an employee is able to collect, how long it will take, whether additional resources are needed for faster staff work. And fixing these parameters will allow you to set up opening/closing hours for warehouses and simplify the delivery chain.

'Now we unload one sea container in 40 - 45 minutes, barcodes and it takes about 20 minutes to'propick' and stamps, +/- 5 minutes. It's fast enough. We read information from the incoming buses at the input, and it is automatically loaded into the accounting system. Before shipping to a partner, we scan the brand, and it immediately "flies away" 1C in. The remains are leveled off, the turnover of the goods is clearly visible. Based on this, you can build reporting for all analytics - this is the main thing, 'said Alexander Bogdanov, managing director of the PinAuto network of bus centers.

Today, all processes at PinAuto are built on the need to keep turnover within 90 days. Purchases are made with an eye to the marketability and demand of products. And the distribution of inventories and inventories is based on tire demand by region, size types and other indicators.

'For two years that we use Cloverens software, we managed to optimize the turnover rate and the speed of turnover of funds invested in the product by 2 times. At the same time, we managed to reduce warehouse stocks by about

23%.

The number of simplest errors decreased due to double control:

  • visual - the storekeeper looks at what is written on the tire,
  • and from the shipping documentation - the employee reads data from the barcode or mark and, if there are discrepancies, fills out the Certificate of Discrepancy. If all the brands are correct, takes the goods to the warehouse without marks, "said Dmitry Bezvazny, Procurement Director of PinAvto.
