This was announced on September 4, 2023 by Lad. As a result, the calculation of salaries according time to complex rules was accelerated, the preparation of orders and other personnel documents was reduced, personnel reporting was formed 30% faster. In addition, it has significantly improved with - integration bank clients in terms of the transfer of wages.
About 1,500 employees work in the Unicon Group, personnel accounting and remuneration calculation are carried out taking into account the specifics of consulting activities: a system of grads, disposal on projects, etc. Previously, the solution of a foreign vendor was used for personnel accounting and payroll in the Unicon group. The system was slow to respond to changes in the legislation of the Russian Federation. After the end of its support from the vendor, the company had a need to switch to a domestic solution.
In addition, it was necessary to develop the functionality of the system: it was necessary to simplify the calculation of bonuses and estimated liabilities for vacations, to ensure the possibility of flexible adjustment of various types of payments to employees, to prepare analytical reports on personnel, taking into account the specifics of the audit and consulting sphere. Another important task was the division of personnel accounting into five group companies, preserving the ability for employees of personnel and financial divisions to work in a single system. To solve the tasks, "1C: Payroll and HR Management" was selected. The IT company Lad became a partner in the automation of payroll calculation, the Unicon Business Solutions project team was involved in the automation of personnel accounting.
The transfer to KORP 1S:ZUP took 5 months. We developed a functional payroll model, data transfer rules, mechanisms for migrating data from the historical system, exchanges with the corporate system in terms of accounting, financial management, document management, and time accounting. The key stages of the project were carried out in parallel. This approach made it possible to meet in a short time and almost in real time adapt the system to changes in the legislation on personal income tax.
1C: Payroll and HR Management CORP is built into the company's complex IT landscape. Communication with multiple internal enterprise systems is configured. Personnel accounting and payroll for the group's companies are organized in three separate databases, the number of users of each of which reaches 20 specialists. A complex role model of users has been implemented: access to confidential information is delimited in accordance with official duties and belonging to various groups of companies, which minimizes the risks of information leakage about employees.
The system was adapted to the peculiarities of human resources management in the audit and consulting sphere, employment contracts, and the grade system for calculating remuneration. Including:
- 14 forms of documents have been created that allow the automatic formation of orders, employment contracts and other documents in accordance with the requirements of the law and internal corporate standards.
- Improved functionality for calculating and calculating additional payments for the period of disability according to the rules of the company, calculating the variable part of remuneration for previous periods. It became possible to distribute the payment to one employee into several accounts in a given proportion, distribute salary statements to individual banks, and also allocate payments to non-resident employees in a separate statement. An additional payment for sick leave to salary has been implemented. The functionality of assigning and paying deferred bonuses has been added.
- 12 analytical reports were added: report on accruals (deductions, contributions) by cost centers, report to check the average earnings used in calculating vacation reserves, report on vacation reserves by cost centers, etc.
In this system, employees promptly draw up reports for delivery to Rosstat, IFNS, SFR, PFR, military registration and enlistment office. The formation of monthly and quarterly bonuses, as well as the calculation of vacation reserves, are automated. In automatic mode, the system sends accounting and management information on payroll to the email addresses of employees. All this significantly simplified the calculation of salaries and reduced the time for preparing personnel documents. The preparation of regulated personnel reports has been accelerated by 30%. Employees of personnel and financial divisions got rid of a lot of manual work.
In addition, integration with banks improved: foreign software required the development of integration modules for each client bank, and the 1C: Payroll and HR Management of 8 system. KORP "supports integrations with most banks.
The key result of the project for us was the opportunity to fully work in a system in which payroll and reporting are automated in accordance with the legislation of the Russian Federation. The first reporting in "1C: Payroll and HR Management KORP," taking into account all current requirements, we passed in January 2023. The project teams managed not only to preserve the functionality critical to the uninterrupted operation of the system, but also to make the work of users faster and more error-free, noted Nadezhda Solomina, Project Manager, Unicon Group.
