2023: Implementation of the EDC
The project company RT-Invest Transport Systems (RTITS) specializing in the development transport IT of systems has switched to paperless personnel document management. With the help Russian service HRlink of remote documentation, HR RTITS reduced the burden on the personnel department. The company also optimized work with archives, which were replenished annually for several volumes only due to the registration of employee vacations. The company HRlink (Human Resources Innovation) announced this on October 18, 2023.
As of October 2023, the company has 1.5 thousand employees. RTITS has 138 separate offices that operate in each federal district of the country, providing drivers with onboard devices for driving on federal highways. At the same time, personnel workflow is distributed among eight branches in different regions.
The wide network of RTITS offices, as well as the location of a number of offices in hard-to-reach places, significantly complicated the work of the HR division. Additional difficulties arose when personnel from the Moscow office had to replace their colleagues in other regions for the duration of vacations or sick leave - the document flow had to be carried out from Moscow, and this was long and expensive. In 2022, the owners of RTITS offered the company to digitize personnel workflow and ensure the possibility of remotely issuing HR documents.
The company announced a competition to choose a contractor. We looked at the presence on premium version of the personnel EDO service, the possibility of integration with 1C, as well as assistance in training employees in the process of implementing the platform. Based on the results of the selection, only the proposal from HRlink corresponded to all the provisions of the terms of reference.
The agreement was signed in November 2022, and a pilot project began in March 2023. The first to switch to paperless personnel document management were offices in Moscow, as well as the northwestern branch of RTITS, which includes branches in more than 20 cities. In total, 400 people entered the test group. The company completely switched to remote personnel document management in September 2023 - the offices of the Southern Federal District were the last to be connected to the system.
It was quite difficult to work with KDP papers at RTITS. It was common in the company when a document for signature must be delivered to a point to which the usual transport does not go. The transition to online signing of HR documents in our case is an important path that we have taken with the HRlink team.
