2021: Implementation of "LanDocs: Express"
LANIT specialists have introduced an electronic document management system (SED) for the Main Directorate for ensuring the activities of the Ministry of Foreign Affairs of Russia. 80 employees of the institution were connected to the SED for April 2021, the implementation project was implemented in just 1 month. In addition, on the basis of the system during the project, the contractual work of the management was automated. This was announced by LANIT on April 5, 2021.
FSUE "Main Directorate for Ensuring the Activities of the Ministry of Foreign Affairs of Russia" is an institution subordinate to the Ministry of Foreign Affairs of the Russian Federation, the scope of which includes ensuring the activities of the Ministry and foreign institutions of the Russian Federation.
Earlier, document circulation in the GUO of the Russian Foreign Ministry was carried out on paper. This led to typical "paper" problems: labor costs related to manual input and duplication of information, costs associated with organizing the storage of documents. The problem with the transition of most employees of the institution to remote operation has become especially acute .
To implement the electronic document management system, LANIT was involved. Its specialists had to automate the document flow in all structural divisions of the customer, develop a system for monitoring executive discipline for the tasks set, organize the storage of documentation and automate business processes based on SED.
As a technological solution, the electronic document management system "LanDocs: Express" was proposed, which is developed taking into account the practice of using LanDocs over the past 20 years in organizations from various sectors of the economy and allows you to introduce a "box" version of the product in just a few weeks.
Also an important criterion in favor of "LanDocs: Express" was the compliance of the system with the strict requirements of the customer in the field of system security. Finally, the compliance of the system with the requirements of the import substitution policy played a significant role in the selection.
The customer's management plans to expand the number of users of the system in the near future.
Thanks to the transition to electronic document management, the Russian Ministry of Foreign Affairs managed to significantly increase the efficiency of work: accelerate the process of coordinating documents, automate contractual activities, organize strict and accurate control over the execution of instructions, and reduce the risks of losing documents.
The main criteria for the quality of our work are the speed and accuracy of customer requests. The transition to electronic document management allowed us to quickly get rid of shortcomings in work and repeatedly increase the efficiency of employees at all levels: from management to performers, said Vasily Dyadenko, representative of the information technology department, FSUE GUO MFA of Russia.

The introduction of SED in the GUO of the Russian Foreign Ministry, we had to carry out the main work remotely. Moreover, the customer sought to switch to electronic document management as quickly as possible - this was also due to the difficulties of the remote mode of operation. To a large extent, we managed to ensure a high implementation speed thanks to the use of a box solution, which was developed by our specialists just for such situations when the client needs to deploy and put into operation the SED "here and now," noted the director of the department of document management systems of the LANIT group of companies Alexander Rodionov.
