2024: Creation of a single cloud system "College"

On May 13, 2024, 1C-Rarus announced the automation of accounting for a contingent of 54 institutions subordinate to the Ministry of Education of the Krasnoyarsk Territory.

According to the company, the creation of a single cloud system "College" within the framework of the departmental The information system of the Ministry of Education of the Krasnoyarsk Territory contributes to optimizing the efficiency of industry management.

The processes of working with personal data of students, military registration, conducting an admission campaign, managing accommodation in a hostel, analyzing academic performance and preparing certificates and certificates, and generating reports are automated.

State professional educational organizations subordinate to the Ministry of Education of the Krasnoyarsk Territory train more than 53 thousand people and carry out annual vocational training, retraining and advanced training of more than 16 thousand people. The system has 54 professional educational organizations.

Before the launch of the project, data on the contingent in the field of secondary vocational education were conducted separately: in local databases in each individual institution. Unloading into the information systems of state structures was not carried out. In this regard, there were difficulties when working with data on the contingent of professional educational institutions.

Together with the 1C-Rarus team, a departmental information system for budget accounting and control over the financial and economic activities of the Ministry of Education of the Krasnoyarsk Territory has already been created in the region and regional government institutions. Along the path of further digital transformation, it was decided to go along with the already proven 1C-Rarus team.

As the basis for building the "College" system, the solution "1C: PROF College" was chosen, since it covers the customer's needs as much as possible and fits optimally into the server architecture of the departmental system.

As a result of the project, a single cloud platform was created to automate the processes of accounting for the contingent in professional educational institutions subordinate to the Ministry of Education of the Krasnoyarsk Territory, and the management of secondary vocational education in the region. This is one of the first implementations of 1C: TRP College using the Fresh cloud subsystem, which allows you to centralize operations and ensure the availability of applications and data from anywhere in the world.

Project results:

• The work of the admissions committee and the management of the student contingent are comprehensively automated. Data exchange with FIS GIA and Reception in terms of data transfer on the work of the admission committee, and the YPGU concentrator form "Admission and registration of applications for training in educational organizations implementing programs of secondary vocational education" are configured.
• The automatic unloading of military accounting data from the "College" system is configured in order to upload to the "My Education" data store of the Krasnoyarsk Territory.
• It was possible to upload data to state information systems, which made it possible to fulfill a number of federal requirements.
• Training was conducted for employees of 54 colleges connected to the College system. The training was conducted in the form of webinars, which were attended by about 500 users. The qualification of the personnel in terms of the use of domestic software has been increased.
• The " College" system uploaded data from information bases of professional educational institutions subordinate to the Ministry of Education of the Krasnoyarsk Territory. It is possible to accumulate information for analysis and further adoption of effective management decisions.
• The student's card has been finalized to ensure the storage of additional data of students necessary to ensure the tasks of monitoring and managing secondary vocational education in the Krasnoyarsk Territory.
• Users of the College system can automatically generate 43 printed forms and 3 analytical reports related to the movement of the contingent and the reflection of operations of admission, enrollment, provision of a hostel, movement, deduction, changes in personal data, appointment of a scholarship, etc.

Together with 1C-Rarus, we took a step towards the digital transformation of education in our region. 679 workplaces were automated. The transition to the cloud ensured the transparency of the accounting of the contingent, we gained access to databases, which will allow us to further analyze, respond to changes in a timely manner and optimize the efficiency of managing the system of secondary vocational education. During the development of the College system, a working group was formed, which continued its work to complete the project. The group members promptly resolve current issues on working in the system and work out the directions for its further development. As of May 2024, employees of the Ministry and educational institutions have already adapted to work in the cloud system, support, including methodological, has been organized to facilitate this process.
