Such was the system before automation

"Ecoplant" - the largest plant nursery in Russia, with the help of which connoisseurs of landscape design can realize any of their ideas - faced losses that the company suffered due to the fact that the most time-consuming processes - acceptance and inventory - were regularly accompanied by overports.

For accounting, employees of the nursery have always used "1C: Trade Management." But commodity and warehouse operations were performed manually.

Previously, all data commissioned by the nursery employees were recorded on a piece of paper, transferred to the operator for entry into the accounting system. There were many errors: they were incorrectly counted, incorrectly recorded, incorrectly entered into the invoice. It's time to use modern tools

The work of the plant nursery is not only in watering or transplanting trees, shrubs and flowers. Each transaction is accompanied by the execution of invoices or other necessary documentation. And this means that paper document flow further slows down the already painstaking work.

A few years ago, the director of Ecoplant already contacted us with the issue of introducing RFID technology in the nursery. But the project could not be implemented at the old shipping documentations. And it was decided to postpone automation for a short time. And during this time, the customer reorganized the accounting and internal regulations,

Start of implementation

It is easy to guess that the main tools in the plant nursery are rakes, shovels and fertilizers. Someone will even say that automating accounting in a huge garden is nonsense and nonsense. But Ecoplant is a unique organization that strives to be the best in all aspects of its work.

To implement the project, integrators proposed to the management of the nursery to introduce "Warehouse 15" and Urovo DT40 data collection terminals in the amount of 16 pieces. And also perform software refinements to optimize a number of business processes.

This time, integrators had to solve 3 problems:

  • Implement a barcode system for plants
  • build operations in the 1C: Trade Management system, integrate shipping documentation and Kleverens software,
  • significantly reduce the complexity of work on accounting in the nursery.

How to keep records of products by barcodes is known to almost everyone. But with visually similar to each other and not having a priori any packaging and ShK goods, the situation is much more complicated. Digitalization and business automation make it possible to speed up all commodity and warehouse operations, reduce accounting errors and reach a new level.

Acceptance and selection of orders

The transition to automated accounting had the greatest impact on the acceptance process. Since at the stage of sprouts, kidneys, twigs, all plants are very similar to each other, and it is quite difficult to determine the cypress or juniper, for example.

Acceptance is performed by experts of the nursery. They also determine whether the plant has come and necessarily mark each seedling, bush, tuber - glue the ShK. Due to this, many advantages appeared for sales.

How is the implementation process built?

The manager takes the mobile computer and goes with the client into the field, having previously created a new order for the shipping documentation. During moving around the territory of the nursery and selecting plants, it forms a buyer's basket. To do this, the manager simply reads the barcode and adds the required number of plants to the order. After all items are picked up, by pressing one button, the order is sent to the operator in 1C.

We have made a ready-made digital tool for the manager. With its help, you can announce the price, see the remains in the warehouse online and another plant location. At the same time, you do not need to call anyone and remember something - all the information is in Warehouse 15,

Online exchange made it possible to implement the automatic creation of a customer order in 1C: Trade Management. The manager does not have time to return to the office, and the order is already with the operator in the system, all prices have been calculated. It remains only to add additional services and accept payment from the client. This significantly reduces the subsequent waiting time for the client at checkout and simplifies the work of operators.

In addition, the integrators have configured the ability to remotely select a customer's order for pickup, which comes to the operator from the online store. And if the buyer wants to buy something else from the plants, the manager can take the shipping documentation, unload the already filled order on it, go across the field and get everything that is needed. After that, the updated order automatically falls into 1C.

Shipment Control

After registration and payment, each order goes through the stage of packaging and output control. At the exit from the territory of the nursery there is a checkpoint organized in order to exclude cases of theft and make sure that the storekeepers picked up exactly the plants that the client ordered. When the operator creates an "Expense Order," the document arrives at the data collection terminal, where the ability to check the order is implemented.

Customers or employees come with a printed on paper expenditure order to the control point - to the storekeeper. He scans the barcode of the document, opens its electronic version on the shipping documentation and checks the order. Moreover, the storekeeper has several options:

  • check each item by ShK,
  • make selective control,
  • visually check the order and mark the inspection on all items at once.

We implemented such a mechanism because, due to the large number of orders, there is not always time to check each position, especially during the sale season. Plus, not all employees can distinguish an apple tree from a pear in appearance, for example. To do this, we have provided for the possibility of displaying photos on the shipping documentation. Thus, the controller can make selective control and set his digital check mark for the order,

Previously, employees stamped on paper invoices to complete control. Now information about which storekeeper, at what time, which order was monitored is displayed in Warehouse 15, and a digital trace is visible in the accounting system. Thus, the Ecoplant management can see all the statistics at any time:

  • Name of the manager who created the order,
  • data of the operator who accepted the payment,
  • which of the storekeepers checked the correctness of the shipment.

Inventories

To identify plants, employees of the Ecoplant nursery use the "height" characteristic. And it is very important to clearly measure each seedling during acceptance. This helps in the future to give the client the necessary plant and make sure that the client took it.

Due to the fact that all plants are marked at the acceptance stage, the customer manages to avoid errors and additional financial losses. And if 10 centimeters of the difference visually is not much, then in terms of cost, such trees can differ by 2-3 thousand rubles. And barcodes just allow you not to hope for an eye meter during warehouse operations. We also realized the ability to conduct selective inventories with the personal responsibility of the storekeeper for the result. Which objectively reduces the number of financial losses,

Results

From the very first days of working with the Kleverens software and data collection terminals, Ecoplant employees noted positive changes in their work:

  • firstly, there was no need for seasonal turmoil to fill the items of the item in the document;
  • second, barcode scanning significantly reduced human error in all warehouse operations;
  • thirdly, it was possible to reduce the queue of customers waiting for their orders.

Now, when the manager completes the order on a mobile device and moves with the client through the territory of the nursery to the client zone, the order is already displayed in 1C and the operator can immediately begin to issue it. Such a mechanism made it easier for all staff to work.

We added the ability to specify a reference storage location for a particular plant. For this, the entire nursery was divided into zones: somewhere there are tui, somewhere - large-sized, somewhere - deciduous trees, pots with plants. That is, for the product, you can specify a specific reference storage location in the accounting system, which "Warehouse 15" will then be reflected on the shipping documentation screen. This significantly reduces the speed of search for certain plants on a large territory of the nursery,
