On April 7, 2025, 1C-Bitrix shared with TAdviser information on the results of the project to automate the adaptation program for new employees based on the Bitrix24 corporate portal, implemented for CSF Group of Companies, a large development company in Russia.

According to the company, for more than 2 years FGC SZ has been actively growing, the number of projects, teams, employees is increasing. In 2024, the company implemented plans to expand its staff - over the past year, more than 200 employees have joined the company, and as of April 2025, the staff of the FGC SZ Group of Companies is more than 400 people. The process of adapting new employees in the company was previously built, but not automated. It required constant control of HR, timely sending of polls, reminders to managers, etc. It was important to find a modern solution so that the HR department coped with the increasing workload, and the new employees successfully passed the first difficult months in an unusual environment.

The Bitrix24 portal at that time had been "living" in the company for the fourth year, helping to solve various problems and uniting employees.

We chose Bitrix24, since with the help of this platform several tasks of the company were solved at once: we were able to arrange the structure and staffing on the portal, manage tasks and publish important information. At the first stage, it was these options that were the first priority for development. Since 2021, we have started using Bitrix24 and as software for communications within the team, analyzing the company's Pulse and offering interesting opportunities for employee interaction. The internal portal has become a place of communication.

It would be convenient to automate onboarding here. Only one "but": the cloud version of the product does not allow deep customization, so the problem had to be solved using the existing Bitrix tool24.

They approached the solution of the problem from different sides more than once, but the very option could not be found. It seemed that it would still have to connect some third-party programs.

The Customer Success Manager service came to the rescue, available to all customers in the cloud version of the Bitrix24 Enterprise tariff. The personal manager of FGC got acquainted with the task and recommended a proven integrator. It turned out to be a partner. WebMens

To implement the project, they decided to adapt CRM functionality to the onboarding process.

If the basic CRM section is used to automate the sales funnel, then in this case the funnel is replaced by onboarding stages, and it is not a deal with a client that moves along them, but a new employee's card.

Card

The transaction card in this process is remade under the employee's file, which contains basic information about the employee's movement through the onboarding stages. At the end of the onboarding, the employee's work result for the entire probationary period, feedback in the form of completed surveys from the manager and the employee themselves are attached to the card.

The functionality allows you to configure different levels of access. The employee sees only information about himself and his tasks, the manager sees only his employees in adaptation, and HR sees the whole picture: how many employees are being adapted, who, at what stage and how things are going.

Each stage of onboarding includes a completed list of tasks for the employee. For example, "Complete Welcome Course," "Complete Survey," etc. For the manager and HR specialist, they have formalized their tasks regarding interaction with a new employee.

Answers to questions

In order not to miss important steps in the adaptation, notifications are provided for each participant in the process, which are configured and sent using Robots. They allow you to plan an action script in advance, which should be played automatically on a given trigger without direct participation. For example:

  • Robots send a reminder to the manager that he must pass a survey about the adaptation of his employee when he has moved to a certain stage;
  • The employee receives notifications about his tasks, courses and materials that he needs to learn at this stage;
  • HR receives notifications about the transition of employees from stage to stage - the company has configured the duplication of these reminders to mail to HR specialists for convenience. All courses and surveys are designed in the same way inside the Bitrix24 portal, external services are not needed for this.

In the process of onboarding, the intensity of communication between a beginner and colleagues and the availability of training information play an important role. Bitrix24 became an assistant in this.

When a new employee comes to the company, it is important to help him feel his own. A small presentation and congratulations on going to work are published about each "new" in the News Feed.

The team can immediately react and get acquainted with a new colleague, understand what his area of ​ ​ responsibility is, learn the person's previous experience and his expectations from a new place of work.

In addition, the News Feed helps you quickly notify everyone about important changes or events, create an opportunity for discussion. It was as if staff had gathered outside a coffee machine in the office for 5 minutes to discuss the upcoming cultural event. Such moments bring people closer together and break down barriers caused by remote work.

The most visited section in the first months of an employee's work is the Knowledge Base. It made it possible to conveniently arrange important regulations and training in one place, which is always at hand.

We have improved the indicators for viewing educational adaptation material, now approximately 95% of adaptation workers take courses from the Knowledge Base. We have issued a Welcome course, we continue to lay out the regulations there by our business analyst. For April 2025, we are still actively filling the "question-answer" block so that an employee can find information on all organizational issues. We add here and various internal workshops, which are conducted by managers for all employees, can be revised at any time. I especially like how the Knowledge Base looks in the standard mobile application Bitrix24.

Knowledge base

Previously, the process of onboarding new employees required much more resources, a lot had to be done manually: fill in all the data on the adaptation process in tables, send materials to the new ones, explain the same information so that the person does not get confused.

Bitrix24 made it possible to automate the routine and bring more new employees to adapt at the same time:

  • Before the automation of the onboarding stages, an average of about 25 employees could be on adaptation; as of April 2025, this figure rose to 100 with the same composition of the HR department;
  • 80% of employees successfully adapt in the company;
  • eNPS (employee satisfaction indicator) regarding the adaptation process in the company increased by 25%.

Until 2023, to adapt employees, we used various software with training content, surveys, tests, but it is always more convenient to use one window for communication. Now the entire adaptation block has been transferred to Bitrix24. The most useful sections for us were Tasks, News Feed, Knowledge Base, Shared Disk, Messenger. For April 2025, we are mastering the Company Calendar to inform colleagues about our events. In the updated Bitrix24 release, we are interested in KEDO + State Key and Copilot Pro. We are only studying these products. Next, we want to work on reporting on new employees. As of April 2025, we already have the opportunity to see all the information on beginners on adaptation in one window, before there was no such thing, we had to collect data on everything manually. Next, we will try to decide how to upload a single summary report so that it can be quickly and conveniently provided to management. In addition, we want to draw up a scheme of the company's divisions on the corporate portal. We already have a negotiation scheme, it is very convenient. It's great if a new employee receives a map of all departments of our large office and immediately knows where and to whom he can be approached to resolve issues. We also want to introduce more gamification into the processes. For example, so that employees can receive internal corporate currency for certain achievements and spend it in the bonus store right on the portal. In general, our fantasy cannot be stopped, we are sure that Bitrix24 will help us implement many plans.
