Solution EleWise LegalDoc, 2015

LegalDoc is the solution allowing to send and accept electronic documents in the OeBS system. It is flexibly adapted to industry specifics - production, trade, distribution. Considers feature of each business process and also many other things give an access isolation opportunity to the signature of documents, setup of routes of approval on the organization, document type, its amount. Besides, LegalDoc has a user-friendly and clear interface in work with which the user feels comfortable.

2015

Legally significant document flow is implemented

In 2015 thanks to cooperation of the EleWise group and operator of electronic document management Taxcom the enterprises using the accounting system of Oracle e-Business Suite (OeBS) had an opportunity to exchange legally significant electronic documents with the partners and partners in the usual OeBS interface.

The documents signed with the qualified electronic signature are sent from OeBS to partners through operator of electronic document management (e-document flow) Taxcom that provides their legal force and allows to fix the delivery fact. Document transfer is performed via the secure channels of communication using data encryption that excludes unauthorized access to information.

Invoices (including adjustment and corrective), consignment notes, acts of the performed works and reconciliation statements, agreements, supplementary agreements, quality certificates, reports on the done work – all these, and many other documents can address in electronic form on the stated above scheme. Also LegalDoc allows the companies working in OeBS to hand over through Taxcom operator accounting and tax statements in FTS, RPF, the Social Insurance Fund and as necessary to provide other documents in courts.

Integration of LegalDoc and Esphere Courier

On September 28, 2015 the EleWise system integrator was announced completion of solution integration of LegalDoc with service of electronic document management by Esphere Courier of Corus Consulting CIS operator.

Scheme of the movement of documents (2014)

All actions for approval, signing, sending and obtaining electronic documents are made directly from Oracle E-Business Suite (OeBS) as accounting system and interface environment, and are sent between partners using Esphere Courier service as transport application.

The documents prepared for sending and receiving using LegalDoc conform to requirements of FTS. The modularity of the solution gives the chance of use of any operator of legally significant document flow. The user creates outgoing documents in the automatic mode, using reference books of OeBS. Incoming documents are automatically processed and entered into the system. LegalDoc provides ready processes for the entering and proceeding flows of documents taking into account industry specifics in the field of production, trade, distribution. If necessary, all processes can be configured and adapted for specifics of the specific enterprise at system implementation.

The main opportunities of the upgraded linking of products:

  • hands-off processing entering and creation of outgoing primary documents,
  • work with five document types:
  • the invoice (including adjustment and corrective),
  • consignment note (TORG-12),
  • the act of the performed works,
  • reconciliation statement,
  • agreements (including additional agreements, applications, etc.),
  • transfer of any document together with formalized (the quality certificate, the report on works, etc.),
  • providing primary documents to the third parties (a request from FTS, court, etc.)

The predicted effect of LegalDoc use, according to the statement of integrator:

  • up to 70% of economy of labor costs when processing the primary document,
  • up to 80% of economy of funds for preparation of documents on demand,
  • 100% the accuracy of data (both in documents, and in OeBS).
