NauDoc electronic document management system - the solution for business process automation and electronic document management for medium-sized and small enterprises.
2011: Consolidation of all editions in NauDoc Enterprise
Since March 1, 2011 the decision all commercial editions NauDoc is made to integrate in one, NauDoc Enterprise, having made more flexible license policy on this product. It will allow the enterprises of different scale to use advantages of the new NauDoc Enterprise v5 platform as much as possible.
- The open code, platform independence and the full web interface allow quickly and without excess costs to integrate a system into already existing IT infrastructure of the enterprise.
- The free version of NauDoc Free will allow to minimize financial risks at implementation of EDMS.
- Free distance learning on electronic document management will allow easily and without costs to train personnel in work with a system.
- A system is already configured under the solution of standard tasks that allows quickly to begin to work.
- The manager of updates allows to receive the stable and debugged code constantly.
- NauDoc electronic document management system optimum is suitable for automation of clerical document flow of the enterprises of medium and small business, management companies, the project organizations, divisions of holding structures and also for the solution of the specific objectives on workflow automation rising before divisions of the big companies (ensuring work with the regulating documentation according to approaches of ISO 9001:2000, interaction between employees and service of personnel, etc.).
Architecture of NauDoc
- The function model of the NauDoc system is implemented in three-unit architecture: client application Web browser, application server and data source (DBMS). In a server role of applications Zope, as data source - the ZODB object database acts, the Apache Web server can act as an intermediate link between the client and the application server;
- As the client application of the NauDoc system (a workplace of the user) the Web browser via which work with the server on which a system is installed is carried out acts. At login the name and a user password then it gets access according to ex-officio full powers are requested;
- Server part of the NauDoc system provides data storage and request processing from client places.
2010: Version of NauDoc v5
In version 5 except a set of changes and additions the new module SQL Archive appeared. The module allows to create archive storage of documents in MySQL DBMS, having exempted completely working database from archive documents.
The new, completely processed "office-work automation" configuration is provided to NauDoc-5. The scheme of a configuration is developed according to the Russian regulations of office-work and optimized under the NauDoc system. The illustrated instructions for users on work with NauDoc for convenience are placed directly in the system interface.
Corrections and completions in version 5.0.0 - 10/1/2010
- The feature for authentication on the basis of Cookies is added. Function of leaving the system correctly works in this mode.
- The system of "masters" is added, including: the master of updating, the master of the first start, the master of integration with SQL, etc.
- Now it is possible to select from settings of the folder not only available categories, but also available object types which can be created in the folder.
- The feature to attach to category of documents an unlimited number of printing templates on the basis of DTML is added.
- The "Resolution" task is added. Tasks of this type are displayed on the document Type tab.
- The Priority field is added to tasks.
- The forms of templates arising at the time of transition can be hidden in parts or in full now.
- Some forms, icons and styles of the user interface are updated. Interface elements in AJAX style are added.
- The authorization error in a skin of the naumen_v3 corporate portal is corrected.
- The problem with rekvizitny fields in a document body if the new version is created is fixed.
- The problem with complete the list of users is fixed at purpose of a subtask.
- The error arising in case of the incorrect reference in the field of Answer with the Document in settings of a template of action "Creation of a task" is corrected.
Completions in the module "The Module of Support of Authorization through LDAP":
- All personal settings of users from LDAP are saved in a system now.
- Setup of the module LDAP is simplified.
- The problem from authorizations of the administrator of Zope in a system with the authorization included in LDAP is fixed.
Completions in the module "Integration with SQL":
- "SQL archive" is added. Now the outdate documents can be moved to a relational DB of MySQL.
- The error at which filters and search queries were not indexed in directories is eliminated.
- The error arising in attempt to delete the user is eliminated.
- The error arising in attempt to delete a reference book element is eliminated.
NauDoc 5.2.4
- The flag "Is added to settings of the module of the digital signature check certificates". This flag allows to turn off verification of certificates in certification center.
- The problem leading to the wrong verification of the digital signature is fixed if at the document there are fields like "Dynamic list of users".
NauDoc 5.4.2
- Work of a selection form of folders and documents is accelerated.
- The problem with emergence of "zombie" of entries in the main directory if there was a conflict in ZODB (MySQL) is fixed.
- The error arising in attempt to delete a rekvizitny field of the reference book in the IE browser is corrected.
- A number of the problems connected with advanced search in rekvizitny fields of the document (MySQL) is eliminated.
- Work of the procedure of updating of the directory (MySQL) is accelerated.
Updating to version 5.4.2 at the connected MySQL means updating of the main directory and can occupy a progressive tense.
Version of NauDoc v6: integration about the Diadoc
In version 6 NauDoc integration of the EDMS NauDoc intended for automation of internal processes of document handling with EDI provider the Diadoc is implemented. Such integration allows to pass to legally significant paperless exchange of documents between the organizations. The electronic signature is accepted tax inspections and judicial authorities and is legally significant just as the paper document in accordance with the legislation of the Russian Federation.
As service of storage and signature of documents serves the EDI provider. NauDoc acts as the automation equipment of processes of work with the electronic document. At the same time at a stage of preparation of the document (for example, agreements) NauDoc allows to check a possibility of sending to the partner of documents in electronic form (whether check on a TIN the partner is connected to one of the used EDI providers).
Functions of the solution NauDoc EDI
Legally significant paperless document flow between the organizations
- Acceptance, registration and processing in NauDoc of electronic documents of documents from the partners (arriving through EDI providers the Diadoc, Taxcom, etc.)
- Sending from NauDoc of documents to partners in electronic form and automatic control of their signature by the partner
- Automatic check of the partner on a possibility of sending documents in electronic form at a stage of approval of the document in NauDoc (check on a TIN on nalichiy in bases of the connected EDI providers)
Automation of processing of paper and electronic documents within one process

- the automatic notification on the arrived documents in electronic form (saving of time for processing of incoming correspondence – electronic documents come to EDMS at once)
- a system checks the partner for a possibility of sending the outgoing document in electronic form
NauDoc 6.1
In this version there was an integration with e-document flow provider the Diadoc from SKB Kontur company which allows to organize legally significant paperless document flow between the organizations. The Diadoc acts as service of storage and signature of legally significant electronic documents. NauDoc is the automation system of internal processes of document handling at the enterprise.
The module of integration includes a possibility of a binding of the document NauDoc to the electronic document in a repository the Diadoc. It allows to register in EDMS as the paper documents coming to the organization, and electronic documents the Diadoc. At the same time processing of correspondence is not required to be changed, to add to NauDoc the external electronic document also easily, as well as to attach the file.
The outgoing documents prepared in NauDoc can also be sent by two methods - to print and send the paper document, or (if the partner is connected to the Diadoc) to create the outgoing electronic document. Then the employee will sign the electronic document revision with right to sign with an electronic key. The electronic signature is equivalent signatures of the paper document. At the same time expenses on delivery, storage, scanning of documents are not required, delivery of the electronic document to the partner happens instantly.
For tracking of the status of electronic documents in the Diadoc the special widget which can be added on the home page of the user is created. It allows how to register the entering electronic documents in a system, and to keep track of the status of sent.
In the form of adding of the link to an element of the reference book there was an opportunity to create new elements of this reference book.
The Guide of the technologist of NauDoc taking into account last modifications of functionality is also updated.
NauDoc 6.2
Updating is recommended for correct work of mobile application of NauDoc mobile v1.1. Updating expands opportunities for setup of a tab designer for documents. Now it is possible to take out all basic functions for work with the document in one tab and to locate blocks with interface elements as it is convenient to you.
- The Connected Documents block for the configured tab of documents is added. Now it is possible to connect conveniently documents, and also to add the connected documents of other types. It is convenient to use such block, for example, at registration of the driving document package.
- The Investments block for the configured tab of documents is added. This block allows to work from a tab-konsruktora with the attached document files.
- The module "Mobile service NauDoc is updated. Updating is required for correct work of mobile application of v1.1
- Importers in the module "Integration with External Systems" can be executed according to the diagram, using the scheduler now. Support of two new sources of import is added: local file of the server and remote URL. Now it is possible to synchronize according to the schedule reference books with other corporate systems.
Corrections:
- Function of adding of new records of the reference book through "The conductor without hierarchy" is corrected.
- The problem with loss of documents from the conductor arising in certain cases is fixed.
2014
NauDoc 6.3
On March 9, 2014 the NAUMEN company announced a release of the new version of an electronic document management system of NauDoc 6.3.
In a new system set of small corrections and improvements. Developers recommend to set this updating to all users for stability augmentation of system operation and expansion of functionality.
Interface
The set of the corrections and completions improving compatibility with browsers of mobile devices is made to the system interface.
Integration
Operation of the module "Integration with External Sources" is optimized. Now it is possible to specify a unique field for import to the folder and to make forced cleaning of records in case of import to the reference book. The feature to import not only reference books, but also directories of documents from xml is added.
New opportunities
In the magazine of registration an opportunity to specify the script executed at the time of registration of the document, the connected reference book that helps to customize flexibly a system for work with several legal entities is implemented.
Now each magazine can be connected with the legal person from the reference book by legal entities. At registration of the document in this magazine, communication with the legal person will be automatically selected. It accelerates work of the clerk when entering a large number of documents on several legal entities and reduces error probability. Function can be used with any magazines of registration.
NauDoc 6.4
On July 1, 2014 the NAUMEN company announced a release of the version of NauDoc 6.4.
Main innovations and changes
The feature for an absentee voting under minutes of meetings/meetings is added
There was a tool kit allowing to automate process of vote under minutes of meetings of the Board of Directors and other similar processes. The tool kit allows: record in the document standard attributes of minutes of meetings, meetings of the Board of Directors, etc. (such as agenda, participant list, list of questions on vote and the final solution) automate process of an absentee voting concerning the protocol. Now it is not obligatory for participants of vote to log in NauDoc at all (even to know about its existence). To each participant of vote the issued letter with a question and options of vote (FOR, AGAINST, REFRAINED) will come to e-mail. It is enough to click on the necessary answer option. A system will request the login and a user password then the voice will be recorded. NauDoc itself will trace when all participants of the meeting vote. Then the notification that vote took place will be sent to the secretary of a meeting and it is necessary to record results in the protocol (the protocol template is also generated by a system) based on vote the final protocol will be sent to participants of the meeting Such mechanism can be used in the NauDoc system for any other processes now (for example, approval of the agreement)
The system of hints in the interface
In settings of fields of details the indication of the hint which will be displayed on a form of editing fields in the document is available that will allow users without use of documentation at once to obtain information on value of these or those attributes, having guided the cursor in the field in a document card.
