On April 10, 2019 the 1C-Rarus company reported that it automated a contracted and claim and claim work ARGOS. The 1C: Holding Management system unrolled in 500 workplaces helped to consolidate data: documents and the normative reference information — six branches and three subsidiaries of the company. Work with more than 5,000 annually signed agreements and also accompanying documents is optimized: additional agreements, specifications, claims and claims. The risk of loss of information is reduced, on document retrieval in electronic archive no more than 2 minutes leave.

According to the company, Terms of approval of documents between branches and central office of management are reduced from 14-30 to 1–3 days. Control of settlement under agreements is strengthened. Time for formation of the annual corporate reporting on a contracted and claim and claim work of divisions decreased from 20 to 1–2 working days. The performing discipline of employees increased.

Prerequisites

Earlier in ARGOS work with claims and claims was not automated. Account of documents was kept on paper and in spreadsheets. There were difficulties with high-quality and timely tracking of lifecycle of agreements, claims on them, maintaining the register of unreliable partners. As management of branches and subsidiaries is performed far off, a lot of time left on data collection and formation of the annual final reporting under agreements, claims and claims. Time expenditure on drawing up reports made about 20 working days. With respect thereto information on reports arrived in COM (central office of management) not timely.

Project Tasks

The information system which would allow to arrange work with agreements became necessary for the company, to consolidate data (documents and the normative reference information) of six branches and three subsidiaries, to simplify and accelerate formation of the final reporting on contractual and on claim and claim work, to accelerate reconciliation procedures, to reduce risks of loss of information.

Project Progress

For achievement of effective objectives the 1C: Holding Management system was selected. The Samara branch "1C-Rarus" became the partner in system implementation. A system covered 500 jobs in all divisions of the company.

Project Results

  • A system integrated work of six branches and three subsidiaries of the company. Operational accounting and storage more than 5,000 annually signed agreements is organized. All associated documentation: supplementary agreements, specifications, claims and claims, protocols of disagreement and the specification — are stored in electronic form agreements in a card and are available to all employees involved in work with these documents. On search of the necessary document in electronic archive no more than 2 minutes leave. The risk of loss of documents is reduced. The term of preparation of the annual reporting under a contracted and claim and claim work of divisions decreased from 20 to 1–2 days.
  • Data exchange about agreements and partners between "1C: Holding Management" and the accounting systems of divisions is configured. It allowed to unify the normative reference information and to provide its timely updating in all divisions of the company. As a result the quality of a contracted and claim and claim work increased, discrepancies and inaccuracies in documents are excluded.
  • Approval of documents is optimized. In the companies of the agreement and other documents are approved in 2 stages: in branch and further with TsAU. Automation accelerated information exchange between all participants of process. In a system approval routes are configured, the updated data on each document come to central office each hour. Terms of approval of documents between branches and TsAU were reduced from 14-30 to 1–3 days.
  • In a system all information connected with agreements — the history of work, completion dates of obligations, the information about participants, matters of argument, etc. is available. It helps the staff of TsAU to control quickly payment discipline, settlement, conditions of payments on agreements, in time to make executive decisions, to estimate reliability of clients.
  • In a system reports which help the management to control quickly a contracted and claim and claim work of each division of the company are implemented. It excluded organization errors. Level of performing discipline in the company increased.

The 1C: Holding Management system helped us to arrange daily work with hundreds of important documents — agreements, specifications, claims, claims. Data exchange between central office of management and remote divisions repeatedly accelerated, all up-to-date information about contract and pretezionno-claim activities is available in a system at any moment. The risk of loss of information, important for the company, is reduced. The performing discipline increased.
