CFT of Lomonosov Moscow State University broadened the sphere of use of electronic archive

Due to the active work of the center of financial technologies of Lomonosov Moscow State University and constantly growing base of clients and partners as the management the decision to automate development and storages of primary documentation of the center was made. Also the idea of storage not only the primary documentation, but also documentation of a number of the companies to which this service was interesting was born.

Are the cornerstone of activity of the center: research and development in the field of public and the humanities, practical application (implementation) of results of intellectual activity, the exclusive rights to which belong to Lomonosov Moscow State University and also activities for creation and use of databases and information resources, creation and support of electronic archive of financial documentation.

Within assigned tasks the management of IT – department analyzed the market of offers of similar storage systems. After carrying out a number of consultations as such platform of storage the ETLA system allowing to combine easily electronic archive of primary documentation with electronic archives of other partners was selected. Moreover, during studying of the IT-system specialists of CFT came to a conclusion that it is possible not to be limited to archive of primary documentation, and to create full-fledged archive of all documents of the company, to thereby create a common information space. During implementation of this project the staff of CFT independently constructed structure of storage of documents under each partner, having completely isolated segments of archive for each of them. Brought all users, broke into groups and set for them access rights to the segments. At the same time the system administrator in one place can control all archives of partners and own archive of documents. Thus this implementation allowed Lomonosov Moscow State University CFT company to implement multi archive of document storage and to strongly save funds of partners for acquisition of licenses and expensive servers for data storage.

Project Development

On December 9, 2016 Atlas Soft company announced expansion of functionality of electronic archive ETLA in CFT of Lomonosov Moscow State University.

After six months of operation of archive of documents, in the center of financial technologies of Lomonosov Moscow State University requirement of the solution of two additional tasks appeared:

• accelerate input of documents in a system by means of automatic recognition of attributes of the registered documents
• integrate electronic archive with an accounting information system.

For the solution of the first task in a system the module of automatic recognition of attributes of documents which helps to accelerate import of documents to a system operates. The module is focused on mass high-speed input of documents. Import can be executed of a set of the scanned images on a local disk and from the scanner with automatic feeding supporting the TWAIN protocol.

Specialists of Atlas Soft configured rules of recognition of payment orders with the subsequent automatic filling of attributes of a card of the document:

• "Name of the document",
• "Document number",
• "Document date",
• "Document amount",
• "Payer",
• "Receiver",
• "Contents of the document".

According to the message of the press service of the contractor in the project, sale of such mechanism helped the customer to reduce time of processing of payment orders approximately by 20 times.

For interaction of electronic archive with an accounting information system the module of integration into third-party applications which helps to automate import and export of documents with attributes of a card, reference books, statistical data in the XML format is set and configured, to automate start of the user scenarios on the system server which help to organize rules of data exchange.
