When Chiesi Pharmaceuticals passed to e-document flow

The application of Taxcom Assistant is intended for process automation of exchange of documents between accounting or ERP systems, in other words - process automation of import, signing by the electronic signature (ES), receiving and sendings accounting documents (acts of the performed works, accounts, invoices, etc.) unloaded from ERP systems.

2014-2015

On September 30, 2015 it became known of an implementation project of electronic document management (e-document flow) ^[1] from the Russian branch "Chiesi Pharmaceuticals" "Chiesi Pharmaceuticals"].

Project Tasks

The offer on transition of Chiesi Pharmaceuticals to e-document flow arrived from department of work with personnel of the company.

"We thought of transition to e-document flow in 2011 — Irina Korableva, the manager of department of work with personnel of Chiesi Pharmaceuticals told. — Delays in signing by regional employees of orders, supplementary agreements and other personnel documents and even were the reason for that of their loss".

New precepts of law became a decisive message to transition to e-document flow: in 2013 there was a Federal law of 4/5/2013 No. 60-FZ on the basis of which amendments are made to the Labor code, in particular, Chapter 49.1 "Features of Regulation of Work of Remote Workers" is entered. Regulations of just become effective legislation required opening of separate divisions in regions in case of use of remote work. Chiesi Pharmaceuticals did not have like those. And it involved big risks.

In April, 2014 Chiesi Pharmaceuticals started the choice of the operator of e-document flow.

"We addressed the different IT companies. And all of them were ready to work with us — Pavel Karasyov, the Chief information officer of Chiesi Pharmaceuticals noted. — But, as at that time in accounting and the personnel we used the program of 1C not to start from scratch, we looked for the operator who has a ready integration with 1C. Taxcom was it. Its e-document flow service was already built-in in 1C, but, however, then allowed to exchange only accounting documents".

Project Results

The EDMS in Chiesi Pharmaceuticals began to work in August, 2014. At the central office, in Moscow, provided a training of regional workers then they left with the configured notebooks and tokens with the EDS key, and since September 1, 2014 began to work on new business process.

Practically the department of work with personnel sends all documents to employees in electronic form. On paper there were only an employment contract or the supplementary agreement to it and also the application for a design the EDS and the expense report with checks.

2015:

• 303 documents were signed
• 70 markers of the electronic digital signature are released
• The personal account of Taxcom for obtaining documents is set to each remote employee
• Process of integration of 1C systems and Taxcom is smoothly running
• 2 USB sticks are lost (and then it is safely found)

Regulations of electronic document management

The violet arrow designates sending the document at the initiative of the Sender, red - sending the failure notice in acceptance of the document created and sent at the initiative of the Receiver, and green – sendings automatically created messages confirming a receipt of the letter with the Telecom operator and the Receiver.
