In the Departmental Protection of Railway Transport, the electronic document management system based on the Docsvision platform was significantly improved
The company's employees, together with Smart Docks specialists, took 4 months from the moment the project was initiated to modernize the SED based on the Docsvision platform. This was announced by the development company on December 6, 2021. As a result, the internal processes in the management of the enterprise Departmental Protection of Railway Transport were digitized: in particular, the coordination of contracts, work with incoming letters and appeals of citizens, familiarization of employees with orders. As a result, the speed of processing documents has increased.
Departmental protection of railway transport is responsible for the safety of goods and ensures fire safety. Divisions of the enterprise are located throughout the Russian Federation. At the first stage of SED modernization, the operation of the enterprise management in Moscow was automated. In the future, it is planned to replicate the system to branch offices and other departments. Docsvision's scalability capabilities support significant growth not only in the number of users, but also in the data in the system.
The system on the Docsvision platform includes the review of incoming correspondence from both organizations and individuals, the formation of instructions to employees appointed during the review and the monitoring of execution, the control of familiarization of employees of the enterprise with ORD and minutes of meetings, the coordination of outgoing letters, ORD, contracts and additional agreements.
During the project, Smart Docks specialists set up dozens of automatic document approval routes in accordance with the organization's regulations. In addition, for the convenience of working in the web client, Docsvision implemented personal offices for managers and employees. They differ in information in dashboards and quick links depending on the priorities and duties of users. These innovations reduce the labor costs of employees in working with the system and documents.
