"ELAR" completed digitization of inventories of federal archives

2018

On January 17, 2018 ELAR Corporation announced completion of digitization of inventories of federal archives and the development project "An information system of remote use of copies of archive documents and help and search means to them".

Specialists of the company scanned more than 200 thousand pages of archive inventories and created over 1 million 300 thousand records of the databases containing headings of affairs.

The company applies the know-how giving the chance to take data from typewritten and handwritten texts with high quality and speed to indexing of inventories.

With Federal Archival Agency ELAR fulfilled obligations for development on other goskontarkt "An information system of remote use of copies of archive documents and help and search means to them". In particular, in the developed system the possibility of the distributed storage of electronic copies of documents is created. It means that users on the Internet will be able to look for and study the digital images which are in electronic storages of federal archives.

"Digitization of explanatory notes of federal archives is the system work of Rosarkhiv directed to transition to the automated accounting of funds, simplification for users of information search on the Internet. And movement of accounting documents on further technology stages is performed only in these packets". 2017

On August 16, 2017 ELAR corporation announced project implementation on the translation of inventories of funds of federal state archives in a format of electronic databases. With the company the Federal Archival Agency (Rosarkhiv) signed the public contract.

Works will be performed within the target program "Culture of Russia (2012-2018)" for 2017 which provides creation of explanatory notes to documents of funds of federal archives in electronic form that should promote expansion of the accessibility to information on documents of Archive fund through the Internet.

Until the end of October of the current year the company will scan more than two hundred thousand pages of archive inventories from the Russian state archive of literature and art (RGALI), the Russian State Archive of Socio-political History (RSASPH), the Russian State Archive of Economy (RSAE), the Russian State Military of Archive (RSMA) and the Russian State Military and Historical Archive (RSMHA).

"Inventories will be scanned in full, i.e. with a cover, the cover page, the table of contents, the summary. The customer will receive digital copies in three formats – TIFF, JPEG and PDF. For indexing of inventories the ELAR own technologies for extraction of data as materials contain the typewritten and handwritten text, hand-written inserts and bondings will be used, and it is impossible to take information only using programs of automatic recognition". "The feature of digitization of inventories caused carrying out tender with limited participation. So the contractor was selected only after confirmation by the applicant of the competences and experience of accomplishment of similar projects. Electronic inventories of RGALI, RGASPI, RGVA, RGAE and RGVIA will be loaded into "The central share directory" that will significantly simplify for users information search in documents of Archive fund of the Russian Federation on the Internet". 2015

On July 30, 2015 ELAR corporation announced a victory in open auction on equipment of reading rooms of five federal archives the specialized equipment for reading information on microfilms. Customer Federal Archival Agency.

Project Tasks

According to the results of an auction twenty specialized reading devices for watching microfilms on a rolled film of 16/35 mm and microfiches of A6 format will be delivered in the State archive of the Russian Federation, the Russian state archive of socio-political history, the Russian state historical archive, the Russian state military and historical archive, the Russian state military archive. Specialists of ELAR will execute assembly, installation and setup of the equipment.

Rosarkhiv, 2013

Specialized reading devices are used for viewing information on microfilms with different multiplicity of reduction. On the screen of the device it is possible to display documents of the international standard sizes A4, USA Letter, A completely.

In an equipment set:

• two lenses multiplicity of increase in the 15th and 18th,
• the carriage for Phish,
• the manual carriage for a rolled film of 16/35 mm,
• two prisms.

The device is used for work with any types of microforms without special skills and training.

"In reading rooms of federal archives the similar equipment is used, however for years of operation a part of reading devices became useless in this connection there was a need for updating of the park. New reading devices for watching microfilms on a rolled film and microfiches purchased for improvement of service of researchers in reading rooms of federal archives and providing copies of archive documents to them on microforms instead of originals for the purpose of ensuring safety of the last", - Galina Khabibulina, the deputy head of department - the head of department of ensuring safety and the state accounting of documents of Federal Archival Agency noted.

On microfiches and a rolled film unique and especially important archive documents which allow to ensure safety of originals are placed and at the same time to provide information which is contained in primary sources, to a wide range of researchers.
