2024: Implementation of KEDO

Osnova Group of Companies is a development and investment company whose main activities include smart home development, management of commercial real estate, investments in the development of family leisure infrastructure and investments in high-tech projects and innovations.

The growth in activity in all areas ensured an increase in the number of employees of Osnova Group of Companies - as of December 2024, its staff consists of more than 2,500 people in a comprehensive holding structure: 4 divisions, more than 200 legal entities, over 35 separate units and 5 branches. In this regard, there was a need for automation of personnel processes. The goals of the project for the transition to electronic personnel document management were:

  • bringing the holding structure to uniform process standards of personnel interaction between the employer and employees, including those who do not have stationary jobs, as well as ensuring convenient and fast exchange of documents;
  • reduction of labor costs for HR documents processing, minimization of organizational and regulatory risks that may arise due to unsigned HR documents;
  • Ensure fast retrieval of required documents in the electronic archive, as well as reduce the cost of paper and document storage.

To implement the project, it was necessary to choose an on-premium solution suitable for the requirements, with the information security ability integration to use corporate systems to work with various devices. Also among the requirements were the flexible setting of signing routes, the ability to add printed forms by users, the ability to customize the holding structure of the organization for requests. The vendor's experience in implementing the KEDO system and his knowledge of the legislation were also important. The HRlink system E-DOCUMENT FLOW from BFT-Holding's portfolio of partner solutions came under the declared set of conditions.

The specifics of the implementation of this project to create a single KEDO ecosystem were the coordination of parallel implementation processes on four different projects: integration of the possibility of the KEDO with 1C systems, as well as with an internal corporate portal of its own design, a corporate mobile application and a candidate hosting service with automated document verification. During the EPEC implementation phase:

  • customization of basic functionality in terms of setting up document uploading, the possibility of changing access rights settings, as well as auto-filling forms taking into account an extensive branch network;
  • replication of the system by legal entities of Osnova Group of Companies;
  • HR management: Employee training and connection sites are set up, a hotline is set up, interactive instructions are developed for users and HR professionals.

As a result, a single KEDO ecosystem was created omnicanal with access for employees of all divisions of Osnova Group of Companies. The system has been implemented in more than 50 offices in 20 regions, countries including all offices and divisions of the federal network. " Termoland In the first four months of the system's operation, 80% of employees were transferred to KEDO, of which over 1200 users use the system in a mobile application and more than 200 employees are employed using the system. About 3,600 documents were signed in the CEDO, while more than 250 types of documents were translated into electronic form.

As part of the implementation of the electronic personnel document management system, the team was faced with the task of automating the entire HR process: from the moment of launching a job vacancy and checking the candidate's documents on the company's website to the employment of the final candidate, including the process of checking his reliability according to official open sources and the document management related to employment, and further interaction with him. The KEDO ecosystem fully met the needs of the Group of Companies in omnichannel access for employees and bringing the heterogeneous holding structure to uniform process standards of personnel interaction, demonstrating significant potential for further development, - said Alexey Mushnikov, Director for Personnel and Administrative Management of Osnova Group of Companies.
