The insurance company implemented EDMS CompanyMedia

In Sogaz Honey insurance company, one of three largest medical insurance companies specializing in compulsory health insurance implements CompanyMedia electronic document management system. As main objectives of its installation the management of the organization designated transition from traditional paper internal document flow to the automated work with documents of the main participants of business processes of SK "Sogaz Honey", the organization of effective electronic interaction between the staff of different departments and even branches, increase in controllability and controllability of execution of business tasks.

The decision on the choice EDMS CompanyMedia was dictated by a number of the reasons: rich functionality of a system, ample opportunities of its development and scalability further (that is especially valuable in the conditions of the new business challenges which are constantly arising at SK "Sogaz Honey"). Besides, such system performance as industry independence, successful work in the geographically distributed environment were taken into account (the insurance company has very branched structure: its regional network contains more than 305 divisions in the territory of 40 territorial subjects of the Russian Federation).

Implementation of CompanyMedia was performed by forces of employees of the system developer – specialists of InterTrust company.

Within an implementation project systems on jobs of users of the central office were installed the modules "CompanyMedia-Deloproizvodstvo" and the Center of reports which allowed to reduce the general labor costs by the organization of office-work and document handling, control of performance of orders, orders and instructions on them, analytical document handling, receiving statistical data; the modules "CompanyMedia-Dogovory", "CompanyMedia-Normative and administrative documents", "CompanyMedia-citizens' appeals", "CompanyMedia-Porucheniya" using which work with documents Sogaz-medical was optimized and accelerated.

Installation and setup of a system were complete within two months. Training of future users of a system and also the administrator who will be able independently to provide further system implementation in regional divisions, works on start of EDMS in commercial operation was in parallel provided.

Today a system functions in workplaces of 100 clerks, heads and non-management employees of the Moscow branch. It is supposed that afterwards the functionality of a system will be extended more than to 150 jobs of specialists of regional branches.

System implementation allowed to reduce time expenditure of most of staff of the company on work with documents almost by two thirds, to effectively execute the received orders (in the company reminders and notifications of a system about the coming term of accomplishment of this or that order, about overdue affairs are actively used) that considerably increased the general performing discipline, provided the clearness of work and transparency of all instructions.

In the future using EDMS CompanyMedia it is also going to solve almost completely problems in interaction of head office with regional branches of the company (a large number of time for transfer of documents, their approval and so forth; loss of documents or delivery incorrect to the addressee, and with respect thereto decrease in efficiency of response to events).

Implementation of EDMS CompanyMedia – not the first experience with the largest companies of the insurance industry. In particular, the project of the organization of electronic document management was performed for the famous insurance company "Max". The solution for this organization was also based on EDMS CompanyMedia.

The project in SK "Sogaz Honey" will proceed in 2012. Within the project it is going to organize 180 user places.
