2020: Automation of document flow on the basis of "1C: KORP Document Flow"
The Maxim Gorky Central Film Studio for Children and Youth Films, one of the oldest and largest film companies in Russia, switched to an electronic document management system in August 2020. As a software solution, the domestic product 1C was chosen: Document flow of the KORP version.
The creative and production association includes a number of divisions that implement many film projects. To speed up the preparation of project documents, the company needed to establish an operational exchange of information between all structural units involved in their coordination and preparation. It was necessary to automate contractual accounting and workflow, strengthen control over the execution of orders.
The implementation partner was the federal - 1Cintegrator WiseAdvice-IT having extensive experience in setting up electronic document management systems on the basis of 1C: Enterprises"."
For 6 months, the system was deployed at 50 workplaces and automated areas: Workflow, Accounting and storage of documents, Maintaining a list of cases, Accounting and control of the execution of orders, Time and attendance, Accounting of contracts.

Results
Key Project Deliverables:
- Work with contracts is automated. Most of them are now formed according to standard templates, which saves employees from unnecessary routine. The document approval process is optimized. Agreement of electronic copies of contracts can be carried out both in parallel and on routes prescribed in the system. At the same time, in both cases, the approvers receive instant access to scan copies of the original contract and all supporting documentation. The time for agreement of contracts has been significantly reduced.
- Automatic transfer of contract data to the company's financial accounting system developed on the 1C: Enterprise platform was implemented. As a result, data collection for management reporting and relevant analytics accelerated.
- A unified register of incoming documents with all applications has been created. A unified document storage system is organized for all divisions. Employees work with electronic copies of documents, while the original is safe and sound in the archive. The volume of paper document circulation has been more than halved.
- The system allows you to monitor the distribution of tasks in real time, assess the workload and efficiency of each employee, department and division of the company. You can redistribute tasks at any time and receive a report on the performing discipline. In all main divisions of the holding, it was possible to optimize the procedures for preparing and holding meetings, as well as the coordination and execution of protocols on them.
- An access rights differentiation matrix has been developed, rights have been set up in the system in accordance with the job responsibilities of employees. This ensures the safety of confidential information and excludes unauthorized access of unauthorized persons to documents and ensures the safety of confidential information.
- Accounting and storage of incoming correspondence, contractual activities, work with organizational and administrative documentation and service notes are automated.
- Integration with 1C: Trade Management and 1C: Accounting has simplified the work with commercial documentation. Any document can be sent for approval, familiarization, execution directly from accounting systems.
