Workflow automation in JSC the Holding company "GVSU "Center"

Created in 1998 by the decree of the Russian President based on the Head military and construction department of the Ministry of Defence formed on January 27, 1964 by JSC the Holding company "GVSU "Center" is vertically integrated diversified holding providing a full stroke of construction and commissioning of the objects: investment into construction, development of the project documentation, production of construction materials on own industrial enterprises, implementation of the constructed objects.

The Following Functions Were Automated:

Preferential support of 1C:ITS is issued (for the first 3/6 months since the beginning of operation of 1C: Enterprise of PROF version) Consultation on technical issues of work with software products of 1C is performed Description:

The choice by the customer of the 1C: Document Flow system is caused by several important factors:

  • 1C: Document Flow is implemented on the 1C: Enterprise platform, uses already available licenses, is integrated with other accounting systems of 1C;

  • in staff of the company there are specialists the supporting other accounting systems of 1C;

  • products of 1C are usual and convenient for users in operation;

  • low cost of ownership of a product;

  • complete functionality in one solution;

  • material availability for independent studying of a product;

  • reliability of vendor (1C Company);

  • reasonable price at high quality of the solution.

Implementation purposes:

  • creation of uniform storage of documents of the company;

  • acceleration of processing of documents: approval, execution, consideration and other;

  • organization of quick search of documents;

  • process automation of the company, connected with documents;

  • document handling process automation (approval, the adoption of orders, registration of the entering and outgoing documents);

  • automation of accounting of paper documents or archive.

Description of works:

  • As a result to the Customer implementation services of standard functionality of software "1C: Document Flow 8" with automation by forces of the Contractor of accounting are rendered to the entering and outgoing documentation, a citizens' appeal, intra holding correspondence, internal documents, control of terms of the answer to incoming letters and packets, document storage, control of performing discipline.

  • Initial setup of a system is made: information on users of a system, user groups, structure of the organization, a position, role of contractors and contractors of roles is created, templates of files are loaded, document types, numerators, document templates, templates of complex processing of documents, the nomenclature of affairs are configured, access rights by the child organizations, divisions and user groups are differentiated.

  • Instructions for responsible users are prepared: on work with the normative reference information, registration of the entering / outgoing documents, on work with ORD and memos, according to the nomenclature of affairs, on differentiation of the rights, on intra holding correspondence.

  • User training is provided, from them 10 users are trained individually.

  • Exchange of outgoing documents in holding using the server of external document flow is implemented that considerably reduced costs for creation of incoming documents, control of their delivery and registration.

Results: now in the organization all documents are stored in uniform information base, there is a possibility of quick search and access to documents, processing of documents is accelerated (approval and others), the transparency of accounting of documents and tasks (on any processing stage of the document it is possible to see the status and course of execution of tasks and documents) is increased, time for work with documents is reduced, for heads - the instrument of control of assigned tasks appeared.
