2020: System implementation of marking of products
On June 19, 2020 the Taxcom company announced system implementation of marking of products in Japan Tobacco International company.
Before Japan Tobacco International as the task stood the producer of tobacco products: by July, 2019 not only completely to equip production lines with the system of drawing codes, but also to start electronic document management with data transmission in MOTP between the legal entities taking into account all requirements of TsRPT.
As a result of negotiations by the contractor the Taxcom company was selected. The project for both companies became experimental. Statements of the problem changed directly in process. But joint work of specialists, allowed to meet the set deadline and to develop the convenient solution. The main task of Taxcom it was correct to build in the completions already smoothly running transactions.
Work on the project began in the middle of 2018. After primary diagnostics it was decided that all completions will become on the basis of a product of Taxcom company Scanning station – the solution for work with the marked goods and electronic documents based on 1C. The feature of a product is that it can be finished under additional requirements of the customer. In particular, at the first stage of implementation for JTI using Scanning station two tasks were solved: aggregation of codes and formation of correct UPD on shipment of products after passing of all control procedures of quality.
The architecture was built as follows: the company makes products, then from the internal system unloads the document where information on aggregation of packs in blocks, blocks in a box, boxes in pallets contains. "Scanning station" reads out this information, transfers in 1C and stores until shipment and data transmission to MOTP. The solution not to transfer data on intermediate aggregation (from packs to blocks, from blocks in a box, etc.) was accepted consciously as in JTI there are several types of quality control. At each stage products are checked and can be replaced in case of defects identification. Only after passing of a full stroke of check, shipment of goods is executed. Not to complicate and to duplicate process, data on aggregation formed not upon, and at the time of shipment a pallet in the machine after passing of high-quality control.
Process of aggregation of codes is closely connected with formation of format UPD. The warehouse management system used in JTI company unloads the file with information on products on pallets, but without codes of marking. This file becomes a basis of future UPD "Scanning stations" in which information on the aggregated codes was accumulated, substitutes necessary data then the file was converted into the UPD format and went to the signature. After loading of the machine the responsible checked, entered in need of editing, signed and sent the document using operator of electronic document management Taxcom to the buyer. After signing by the receiver data automatically come to the MOTP system. Such, partially automated mode, was used during the entire period of pilot operation of a system until the end of 2018.
At the beginning of 2019 the second stage of the JTI and Taxcom joint project began. Implementation of process of creation of UPD completely in the background became its purpose.
At a stage when collected pallets are loaded into the machine, the system of an inventory control creates the file draft. The "scanning station" deployed on the customer's server substitutes all necessary data and product codes in a draft and creates the formalized UPD conforming to all requirements of FTS and taking into account the methodical recommendations of TsRPT. Process of formation of UPD is completely automated, files are read out and form according to the schedule tied to production and shipment of goods. According to the schedule signing and sending the document is performed. Thanks to completions of Taxcom, it was succeeded to get rid of manual verification and a dozapolneniye of documents completely. Each transaction is followed by e-mail mailing on responsible persons that allows to control process of shipment and product acceptance. In addition the functionality of high-quality and quantitative control is built in Scanning station: a system is able to block doubles of documents, to find discrepancies in goods quantity, to notify responsibles on any technical errors and the shortage of data.
Additional control is implemented using reports on the movement of the marked products. "Scanning station" stores information on all data created and transferred to MOTP. If necessary from it it is possible to unload a detailed report which is used as the additional mechanism of check and reconciliation of data with the Fair Sign system. The report allows to filter and browse general information about the created and transferred UPD, and if necessary to lift and study each document separately.
Feature of Scanning station is the possibility of its integration with any accounting and information systems and also a possibility of completions upon the demand of the customer. For example, for the solution of specific objectives of JTI, by specialists of Taxcom it was developed several add-on modules to Scanning station connected with converting of documents and the system of notifications.
Scanning station is also installed on the side of the second legal entity that provides almost automatic goods acceptance. A system receives a command, creates a title of the buyer, the document is signed and the e-mail notifications system works. After signing of UPD by the second party, goods turnover at a stage "the producer – the first distributor" is considered complete, and the operator of e-document flow Taxcom transfers data on it to TsRPT.
The implemented completions allowed JTI to start by July 1, 2019 the automated process of creation and transfer of format UPD with product codes in commercial operation.
