2021: Automating Transport Accounting
On July 7, 2021, 1C-Rarus announced the automation of the registration of motor vehicles in Karelia PALP Group of Companies, a manufacturer and exporter of newspaper in Russia and Europe. Implemented 1C-based system: TRAC Motor Vehicle Management has consolidated the work of large divisions of the company. 50 jobs are automated, more than 150 transport units are registered. The project is complete remotely.
The lack of personal meetings did not prevent us from launching and executing the project. All negotiations, design work, as well as user training were carried out remotely. Such a regime was not only comfortable for both sides, but also helped us reduce some cost items. Key project results:
- Flexible adjustment of accruals, accounting for complex tariffs and coefficients, conditions and parameters, from which employees' salaries are made up. The system allows you to obtain summary information about the accrued salary by days and types of calculation in the section of an individual employee, to check and adjust it. Rates are set up in user mode and employees can modify settlement rules quickly.
- The transparency of the calculation of drivers' wages has increased due to the detailed display of data - both in the travel list and in the time sheet.
- Increased control over the time spent in the context of the types of accruals: travel time, time for loading and unloading, rest time, etc.
- A parallel algorithm for calculating the employee's working time has been created, based on the production indicators. The customized Work Time report provides detailed information about the time costs from which the work time was calculated and compares it with the travel list.
- An automatic mechanism for distributing the costs of fuel and lubricants and wages in the context of counterparties and transportation directions has been implemented. This helps to analyze direct costs and evaluate the performance of the enterprise. 100% excluded manual collection of information in spreadsheets. Configured AutoComplete transport direction prevents selection errors and incorrect data entry.
- The program allows you to evaluate the condition of the vehicle, as well as calculate and predict the next and planned repairs for several periods ahead, based on the average daily production of equipment.
At the end of pilot operation, AIS was transferred to support its own IT service of the Karelia PALP group of companies. The systematic development and maintenance of the base will allow the enterprise to see a significant economic effect in the future.
The implemented software will digitalize all information streams of the company. We not only automate the accounting of the requests of our group of companies, but also plan to use and develop this mechanism on external customers. Requests have been shortened, resource planning has become more accurate and expeditious, and reporting is now taking less time. The system is made as typical as possible, which saves time and money for its support.
